Full Job Description

We are in the process of staffing a Virtual Assistant where a client needs someone to handle the following responsibilities. If you are interested, please complete the Virtual Assistant application. Key Responsibilities

App Tasks

  • Manage customer service for app
    • Maintain customer service inbox by answering emails within response window 
    • Upload all app cancellations to the backend of the app weekly
  • Manage backend building and management
    • Upload new videos
    • Build new workouts
    • Build new resource video pages 

Coaching Program Tasks

  • Manage customer service for coaching
    • Manage all client customer service issues escalated to support inbox by the coaches
    • Manually complete all Bi-weekly coaching cancellations weekly
  • Manage new client starts
    • Add new clients start dates and close old dates (happens bi-weekly) 
    • Organize the new client list and send macros (happens bi-weekly)
  • Manage progress pictures
    • Label and save all client progress photos assigned to the progress photo inbox
  • Manage Facebook page
    • Post coach videos bi-weekly from client’s Facebook login 
      • Organize the video, write up and get client’s approval
      • Make a schedule for Facebook's lives for the coaches to rotate through
  • Manage client emails and outlines
    • Workout with clients to redo the client emails and outlines 
    • In charge of moving this project forward and inputting copywriting and pictures into Kajabi

Guides 

  • Manage workouts
    • Keep the App, Kajabi, and PDF always synced with the same changes
  • Manage educational modules
    • Make updates as client does so 
  • Manage progress photos and testimonials
    • Manage label and save all photos from the progress photo inbox

Kajabi Support

  • Help with backend website and email updates as needed 
  • Help with automations and contact communication  

Social Media and Marketing

  • Manage bi-weekly newsletter and blog post based on weekly podcast / posts
  • Pinterest
  • YouTube
  • TikTok
  • Podcast 
  • Instagram

Platforms:

  • Excel / Google Sheets 
  • Kajabi
  • Pinterest
  • YouTube
  • Instagram 
  • Google Suite

Requirements

  • Experience with Kajabi (a plus) 
  • Experience as a Virtual Assistant / Executive Assistant (a plus)
  • Experience in customer service / communications (a plus) 
  • Passionate about women's healthy lifestyle (a plus)
  • Excited and comfortable doing the monotonous tasks (a must) 
  • Very organized 
  • Excellent communicator 
  • Detail oriented
  • Tech savvy
  • Proactive 
  • 20-25 hours per week 
  • PST, MST, CST, or EST Time Zones
