As the Operations Coordinator for our Cary clinic, you will assist the Clinical Director in managing the administrative functions that keep our services running smoothly! Operations Coordinator Responsibilities:
Scheduling:
- Maintain accurate schedules for assigned locations
- Work with the clinical team to ensure timely session conversion and signatures
- Reconcile and audit staff schedules and client hours for accuracy
- Reconcile and audit clinic schedule and provide feedback to the supervisor
- If coverage is needed, assist or fill in for administrative support
- Monitor, track, and communicate cancelation trends with the supervisor to improve treatment provision
Administrative Support:
- Office Management:
- Manage and organize office activities, including scheduling, correspondence, and data entry.
- Coordinate meetings, prepare agendas, and ensure timely distribution of materials.
- Greet and direct visitors
- Facility Management:
- Oversee the day-to-day operations of the facility, ensuring a safe and efficient working environment.
- Maintain inventory of supplies and equipment, reorder as necessary, and liaise with vendors.
- Communication Liaison:
- Serve as a central point of contact for internal and external communications.
- Collaborate with different departments to ensure effective information flow
- Process Improvement:
- Identify and implement operational improvements to enhance efficiency and productivity.
- Collaborate with team members to streamline processes and reduce redundancies.
Requirements
- HS Diploma required; Preferred: Bachelor's degree in a relevant field (e.g., psychology, social work, business administration).
- Experience in operations coordination/administration and behavior analysis.
- Strong organizational, communication, and problem-solving skills.
- Ability to work collaboratively in a multidisciplinary team.
