As the Government Programs Site Manager, you will contribute to a collaborative program management team that supports a fast-growing medical consultancy and government contracting firm. Responsibilities will include:
General Responsibilities
- Serves as an essential member of the Program Management Office (PMO) team
- Review assigned standards of operating procedures (SOP) and policies to gain detailed knowledge to assist the Program Manager (PM)
- Provides recommendations for SOP revisions; participates in the SOP revision process.
- Attend PMO and relevant VIGILINT meetings; prepare and brief MSRT updates as required
- Synchronize all updates to the Program Management Office (PMO) weekly slides received from all key players
- Provides read-ahead documents to key players and final copy to the PM
- Conducts routine follow-ups to ensure all updates are received 24 hours prior to weekly synchronization meetings
- Provide support to other members of the PM team
- Contributes to VIGILINT mission by accomplishing other duties as required
Administrative Responsibilities
- Complete bi-monthly personal timecard requirements
- Reconcile personal travel expenses within 72 hours of receipt
- Properly handle and maintain confidential records, including Personally Identifiable Information (PII)
- Coordinate and administer meetings using digital communication platforms/applications
Site Manager Responsibilities
- Initiate, support, and maintain all assigned deployment sites, included but not limited to:
- Develop and maintain relationships with Prime Operations Integrators and other assigned clients.
- Maintain continuous communication with deployers
- Maintain client contact roster and provide updates to the PMO
- Collaborate with Medical Affairs, Deployment Manager, and CAMTS Manager for all deployers and significant event Salesforce data input.
- Assist with all DAP (Deployment Assessment Program) screening requirements
- Serve as VIGILINT administrative lead for pre-mission training under the direction of the Program Manager and Medical Director; serve as trainer as necessary.
- Monitor all MSRT Logistical requirements and assist VIGILINT Logistics (pre-deployment and operational requirements) when needed.
- Collaborate with Medical Affairs and PMO for DAP, pre-deployment training, and deployment dates NLT 120 days from deployment
- Initiate contact with personnel NLT 90 days from deployment date
- Verify deployer Credentialing with Medical Affairs
- Verify DAP screening documentation NLT 60 days prior to deployment
- Establish pre-deployment training dates NLT 60 days from deployment date ICW Medical Affairs and PMO
- Initiate deployment administrative requirements NLT 60 days from deployment
- Coordinate pre-mission training activities with Medical Affairs and training department NLT 60 days from deployment
- Provide VIGILINT Logistics deployment requirements NLT 60 days from deployment
- Coordinate/schedule administrative and life support requirements with Client (Billeting, Vehicles, Network Access, etc.) NLT 60 days from deployment
- Provide pre-deployment training schedule NLT 30 days from deployment
- Establish communication link between deploying team and Site team NLT 30 days from deployment
- Coordinate CAC appointments NLT 30 days from deployment
- Conduct administrative AAR during redeployment (travel, equipment, life support, etc.)
- Conduct and collate Peer Reviews NLT 7 days post-deployment
- Facilitate Site meetings
- Coordinate Site re-supply with VIGILINT Logistics and client logistic networks
Requirements
- US Citizen
- Must be able to pass all background checks
- Medical Professional Experience (Nurse, Special Operations Medic, Special Forces Medic)
- Overseas Deployment Experience (military or as a healthcare professional)
- Excellent interpersonal skills and always remain professional
- Strong organizational skills, including attention to detail and multi-tasking skills
- Experience demonstrating the ability to develop, implement and administer new processes and project deliverables
- Exceptional oral and written communication skills, including tact, understanding context and attention to detail
- Ability to coordinate and administer meetings using digital communication platform applications (e.g., Zoom and Teams)
- Ability to work with little supervision, track multiple processes and elevated ability to execute tasks independently
- Resourcefulness and problem-solving aptitude
- Familiarity with various operating systems and platforms
Desired qualifications:
- Bachelor's Degree in a Health-related field
- Secret Security Clearance
- Salesforce Experience
Salary Range $80,000 to $105,000
