Full Job Description

Navion is seeking an Executive Support Specialist to join its corporate office team located in Raleigh, NC! Our Executive Support Specialist is responsible for providing comprehensive administrative and office management support to Navion's Home Office and the Chief Executive Officer (CEO) and the Chief Operating Officer (COO).

The Executive Support Specialist streamlines organizational duties and initiative's for Navion's CEO and COO while producing high-quality, detailed work based on established standards, guidelines, and procedures, within established timeframes and deadlines.

Responsibilities

  • Serves as office manager for Navion's Home Office.
  • Provides administrative/office support to executives.
  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
  • Coordinates Home Office Team Member On-boarding initiatives for new hires.
  • Assists Home Office Team Members with a target of a high degree of customer satisfaction.
  • Compiles and prepares data/reports as required on a weekly, monthly, and annual basis as requested.
  • Maintains and updates network files, electronic files and data as required.
  • Perform various administrative and clerical functions to include filing, scheduling, reporting, tracking, data collection and entry, etc., required to maintain an organized, efficient and functional office.
  • Coordinate meeting and training schedules and support as requested.
  • Maintains a professional demeanor with all Residents, families and friends, third party providers, professional referrals, team members, and the general public.
  • Attends in-service training as required.
  • Maintains and protects the confidentiality of all assigned projects, assignments, conversations/meetings, files and correspondence, and team member and resident information at all times.
  • Performs other tasks as assigned by the supervisor.

Requirements

  • A minimum of seven (7) years executive assistant experience providing support at the executive level.
  • High School diploma required.
  • Bachelor's Degree or Associate's Degree preferred, or equivalent combination of education and experience required.
  • Must be at least 18 years of age.
  • Excellent written and verbal communication skills.
  • Ability to work well with others and promote a team environment.
  • Be willing to offer thoughts or opinions that would make a process and our place of work better for all those in the Home Office.
  • The ability to facilitate group presentations.
  • Proven ability to effectively handle multiple priorities.
  • Computer proficiency with the Microsoft Office Suite as well as the ability to learn new applications.
  • Ability to multitask and prioritize work as needed.
  • Ability to work effectively with minimal supervision.
  • Ability to meet deadlines on short notice.
  • Exceptional attention to detail and ability to offer creative solutions when applicable.
  • Ability to treat confidential information with appropriate discretion.
  • A desire to be part of a team while being proactive, flexible, results-oriented and comfortable in a rapidly changing environment.
