Full Job Description
Job Title: Production Coordinator
The Production Coordinator will be responsible for creating and maintaining purchase orders for our launch and replenishment catalog. This includes tracking the timely delivery of products and troubleshooting any unforeseen issues within their supplier portfolio. A successful candidate must have strong organizational, communication, and excel skills, with the ability to multitask and refocus their attention based on the needs of the business.
Responsibilities:
- Issuance and management of launch and replenishment purchase orders for finished goods and corresponding materials within the required timeline to accommodate demand, purchase plan, and projections
- Management of component and finished good PO’s for launch and replenishment items from start to finish, including tracking timeliness of manufacturing through delivery of finished product to final destination. Develop clear understanding of details around supplier’s production schedules
- Review component requirements and coordinate/track delivery to ensure needs are met for finished good production. Adjust quantities and/or ship mode as necessary with international and domestic suppliers
- Review/adjust ship method and/or manage last minute changes to the plan to meet business needs, while ensuring changes are sound and cost effective
- Communicate with internal logistics team to gain insight on best mode of transportation to meet deadlines, support logistics teams with customs clearance in advance, and follow up until units are delivered to the required destination
- Establish finished good standards (as it relates to product specifications) and manage production sample retains for reference. Ensure finished production retains meet our specs/standards
- Review and monitor open order reporting with suppliers and track adherence to production schedule. Ensure milestones are met related to component deliveries, raw material availability, and batching schedule. Escalate any deviations or issues to leadership
- Manage and maintain relationships with supplier base via weekly phone calls. Includes monthly management of supplier performance tracker and scorecard review to drive improvements on supplier processes and performance. Visits to facilities as needed
- Understand and evaluate potential delays as it relates to both production and shipping. Proactively initiate communication among cross-functional departments including planning, launch, new product development, and retail operations departments. Brainstorm with teams to find ways to remedy the situation as quickly as possible such as expediting raw materials, air shipping units and/or direct shipping to retailers
- Request monthly book inventories from each vendor for review and reconciliation. Run monthly reports to confirm the quantity accuracy and value of inventory located at each supplier
- Use ERP system to complete daily transactions and receipts. This includes but is not limited to: receiving in completed produced units, transfer orders, closing of production orders, maintaining correct supplier inventory
- Address supplier price discrepancies with cross-functional partners prior to adjusting purchase order items
- Ensure supplier base complies with Tarte quality and safety standards
Requirements:
- Minimum 1-2 years experience in a planning or purchasing function
- Beauty/and or consumer product background a plus
- Bachelor’s degree in Business, Engineering or Supply Chain discipline preferred
- Advanced Excel skills required (Pivot tables, VLOOKUPs, etc.)
- Detail oriented problem solver with strong organizational and project management skills
- Must work well under pressure with the ability to handle multiple tasks and priorities simultaneously
- Ability to interface and build relationships with partners
- Must thrive within a changing organization
- Must listen for understanding and have a positive attitude
- Excellent communication and interpersonal skills
- Up to 10% travel on an hoc basis
