This is a contract position, employed by Impec Group and assigned to our client, a prestigious law office located in New York. The Office Services Assistant, under general supervision and in accordance with established policies and procedures, will provide a range of office and facilities services to support the New York team. Please note that this is a contract position with the potential to transition to a permanent role, directly employed by our client. The qualified candidate will have some experience in one or more of the following areas: catering, mail services, copy/fax/scan services, or reception duties. Flexibility in schedule is required for this role, as there is potential for additional hours and overtime based on business needs.
Pay Range $25 - $34 per hour annually depending on experience
Position Office Services Assistant
Reporting to Senior Director of Administration
Schedule Part-time (Tuesday, Wednesday and Thursday) 8:00 AM to 5:00 PM
Job Description:
- Completes specialized or complex copy projects for attorneys and staff as requested.
- Collects, sorts, routes, and/or delivers mail including pouch and interoffice distributions.
- Receives and distributes office supplies, including special orders for supplies and equipment.
- Organizes and stocks new employee and visitor offices and workstations.
- Maintains adequate supply of standard office supplies in all satellite copy/fax areas.
- Organizes office supplies in all satellite copy/fax areas so they are visible and easy to find.
- Assists with kitchen and conference room maintenance, as directed.
- Back-up reception services. Greets and directs visiting attorneys, clients, and guests.
- Assists with general conference room set-ups and clean-ups (equipment, office supplies and food and beverage service) and restocks beverages and office supplies in conference rooms, as necessary.
- Responds, through “NY Facilities” email address, to requests for assistance with office services related projects.
- Participates as a team member on numerous special projects, as requested.
- Maintains regular communication with personnel at all levels.
- Performs other related duties as assigned.
Requirements
- Strong customer service orientation.
- Ability to follow instructions and procedures.
- Works well with others in a team environment.
- Willingness and ability to walk between conference rooms, utility rooms and kitchens throughout the day.
- Ability to effectively communicate with staff and vendors about set-up and clean-up requirements.
- Ability to communicate effectively and to follow instructions from a diverse group of clients, attorneys, staff and vendors.
- Ability to work overtime as needed to ensure adequate coverage.
- Willingness to periodically alter schedule to meet the needs of the department.
- Computer proficient, with the ability to utilize MS Office.
- Some college preferred.
