Summary/Objective
The Facilities and Events Coordinator is a hands-on role that assists with a wide variety of operational functions, including ensuring the smooth day-to-day operations of our Rochester office. The Coordinator will understand the personalities of executives and help foster a cohesive team atmosphere through a deep understanding of Security Risk Advisors' mission, vision, and services. This position is non-exempt and overtime eligible.
Requirements
Essential Functions

- Purchase, unpack, organize, and restock office supplies, including snacks and beverages. Maintain inventory, and ensure spending stays within budget.
- Ensure the office kitchen and workspaces are tidy and properly maintained. Verify that furniture and equipment are in good condition.
- Coordinate with building management to address repairs or improvements.
- Arrange office visits for vendors, clients, and other guests.
- Manage security credentials for employees.
- Collaborate with Business Operations to develop and communicate office policies and procedures.
- Act as a liaison to employees, vendors, and building and security staff on office management issues.
- Coordinate catering and event planning for meetings, internal events, and special projects as needed.
- Provide general administrative and clerical support to the internal operations team, including scheduling meetings, preparing reports, and organizing files.
- Handle mail and document management: receive mail, scan, file, and distribute documents.
- Evaluate office space regularly and make recommendations for optimization.
- Provide occasional travel support to team members.
- Assist with onboarding new employees in relevant areas.

Work Environment
This role operates in a professional office environment and routinely uses standard office equipment. This role requires the incumbent to work in person in the Rochester office five days a week. This role routinely uses standard office equipment.

Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday 8:30am to 5pm. Occasional evening and weekend work may be required as job duties demand.
Travel
Approximately 5% travel expected, including overnight travel to SRA HQ in Philadelphia, PA.
Required Education and Experience
- Punctuality and timely attendance to external client and internal stakeholder needs.
- At least one year of experience in a related role.
- Able to lift office products and supplies, up to 25 pounds.
- Comfortable learning new technologies.
Preferred Qualifications and Experience
- College degree a plus but not required.
- Strong written and verbal communication skills, with the ability to interact professionally with senior leadership, team members, and external partners.
- High level of accuracy in managing documents, travel arrangements, event logistics, and office operations.
- Advanced proficiency in Microsoft Word and PowerPoint, with intermediate knowledge of Excel.
- Ability to juggle multiple tasks, prioritize effectively, and manage time efficiently in a fast-paced environment.
- Strong capability to anticipate issues and take initiative to find efficient solutions.
- Demonstrates a friendly, approachable demeanor and builds strong relationships with internal teams, vendors, and external partners.
- Maintains calm and focus in high-pressure situations, demonstrating a positive and adaptable attitude.
- Comfortable managing shifting deadlines, schedules, and priorities, and adaptable to changing office and executive needs.
- Skilled in handling sensitive information with discretion and professionalism, maintaining confidentiality in all communications and tasks.
- Exercises sound judgment in decision-making, particularly when handling confidential or time-sensitive matters.
