Full Job Description
Reporting to the Head of School, the Executive Assistant provides a wide variety of complex and confidential administrative and executive support functions. This support includes communicating information on behalf of the Head of School to employees, parents, and trustees. The Executive Assistant works to ensure connection and alignment of the Head of School’s office and Board of Trustees activities with administrative functions of the School; and oversees and addresses a variety of major initiatives and/or providing general support necessary to ensure efficient and effective school operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Essential Functions:
- Serves as a reliable and trusted partner to the Head of School with high integrity
- Serves as a liaison to the Board of Trustees and Senior Administrative teams; organizes and coordinates executive outreach
- Maintains Board of Trustees contacts and manages Board of Trustees materials
- Coordinates meetings, conferences, direct mailings and school-wide special projects
- Composes and distributes routine and complex documents and presentations for the purpose of communicating information to school personnel, students, trustees, parents, the public, and others
- Assists the Head of School in scheduling, preparing and distributing agendas for Board and committee meetings
- Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions and meet record-keeping obligations
- Manages the Head of School’s calendar/schedule to ensure commitments are met and following-ups are completed in a timely manner
- Coordinates meetings and retreats for the Senior Administrative team and assists with all-school meetings, as well as smaller staff meetings and events as needed
- Provides sophisticated calendar management for Head of School; prioritizes inquiries and requests while troubleshooting conflicts; makes judgements and recommendations to ensure smooth day-to-day engagements and ensure prioritization of sensitive matters
- Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Head of School, including those of a highly confidential or critical nature
- Prioritizes and determines appropriate course of action, referral, or response, exercising judgment to reflect Head of School’s style and organization policy
- Responds to inquiries (including telephone calls) from students, parents, employees, and trustees, providing information, facilitating communication among parties and/or providing direction
- Coordinates cross division end of year celebrations including US and MS graduations
- Manages sensitive matters with a high level of confidentiality and discretion
- Manages end-of-year communication out of Head of School office such as the Employee Tea; awards, list of leavers and retirees; Prize Day, Head of School Prize, etc., and closing meetings
- Oversees development of RCDS master calendar and manages day to day master calendar updates
- Serves as primary point person and coordinator of the following major school-wide events: Opening Ceremonies, State of the School, Closing Meetings, annual Employee Tea, Faculty & Staff Gowns and Hoods; Board of Trustee meetings
- Updates the Basic Education Data Systems [BEDS]
- Supports Administrative Support team by providing trainings, resources, and collaborative workspace
- Other duties as assigned
Desired Qualifications:
- Bachelor’s degree required
- At least 7 years experience and a proven track record in excellent in executive support
- Outstanding communication, interpersonal, collaboration, and technology skills
- Keen attention to detail and proactive nature
- Experience with managing multiple calendars and high-level events
- Preferred experience with board and volunteer management
- Ability to multi-task and manage numerous high-priority projects simultaneously
- Superior organizational and project management skills
- Flexibility regarding work schedule and duties
