Full Job Description

We are looking for an experienced and well-organized Event Sales Coordinator to work directly with the Events Sales Director. Excellent communication and attention to detail skills are vital in this role, as our success depends on meeting our client's tailored requirements. The successful candidate will become the point of reference for colleagues and customers by keeping schedules and providing feedback, documentation, and information. The goal is to facilitate the team’s activities so as to maximize their performance and the solid and long-lasting development of the company.

The ideal candidate will quickly be able to adapt to the brand, values, and culture of the company, evoking passion and excitement for the process in all involved while providing an upbeat and positive client and team experience. Because we are a small team, we all wear many hats and are happy to roll up our sleeves and lend a hand whenever needed. Responsibilities

  • Coordinate and manage schedules; schedule site visits and calls
  • Promptly respond to all incoming leads with relevant information
  • Update documents, listings, and correspondences. Work closely with the Events Sales Director
  • Support with walkthroughs, event planning, and other needs as they arise
  • Support in planning events with attention to financial and time constraints
  • Organize and update the lead database
  • Respond to customer and client inquiries
  • Perform clerical duties
  • Store and sort financial and non-financial data in electronic form and present reports
  • Inform clients of unforeseen delays or areas of opportunities
  • Monitor the team’s progress, identify shortcomings, and implement improvements
  • Understand requirements for each event
  • Research vendors (catering, decorators, musicians, etc.) and choose the best combination of quality and cost
  • Support in managing all event operations (preparing venue, invitations, etc.)
  • Do final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards
  • Oversee event happenings and act quickly to resolve opportunities
  • Convey information in a professional and courteous manner
  • Ensure adherence to laws and policies

Requirements

  • Experience as a sales coordinator or in other administrative positions will be considered a plus
  • Excellent verbal and written communication skills
  • A proven track record of organizing successful events
  • Well-organized and responsible with an aptitude in problem-solving
  • Able to work in dynamic environments
  • Excellent computer skills
