LOCATION: Mahwah, NJ, with travel to Manhattan as needed 1-2x a month.

WORK SCHEDULE: Hybrid. In-person 2x/week, with the flexibility for additional on-site days as needed.

CLASSIFICATION: full-time, non-exempt

Requirements

ABOUT THE ROLE

We are seeking a Product Development (PD) Coordinator to support the PD team through the lifecycle of new product development, from concept to launch. The ideal candidate will support various product-related tasks, ensuring high levels of organization, communication, and accuracy. The position involves a combination of project coordination, administrative support, and sample management to help drive the successful launch of new beauty products. This role will collaborate closely with internal teams like Operations, Marketing, and Sales, as well as external partners like our contract manufacturer. This role will report to the PD Senior Manager. 

KEY RESPONSIBILITIES

  • Artwork & Sample Management
    • Manage and execute artwork needs in collaboration with cross-functional team members to ensure accuracy, proof-reading, regulatory approvals, and adherence to timeline.
    • Upload all tasks in Asana and maintain product documentation in the internal change control master product tracker.
    • Coordinate the NPD product sample evaluation process, including panel testing, questionnaire development, and internal surveys.
    • Assist with shipping new product submissions to cross-functional teams, partnering with the warehouse and manufacturers.
    • Create and manage Google surveys to track sample submissions and feedback.
  • Support Product Development Reporting
    • Assist with NPD TAMU (Tracking, Analysis, Monitoring, and Updates) reporting to maintain the highest level of quality standards, under the guidance of the PD Manager.
  • Competitive Product Lead
    • Lead competitive product shopping, invoice filing, and monthly budget tracking.
    • Conduct competitive product analysis and support NPD initiatives through monthly trend briefings.
  • Administrative Support
    • Maintain the organization of all PD samples and competitive products, both physically (in the office) and digitally (in Dropbox), in partnership with the Team Project Lead.
    • Support daily file reviews for accuracy, including artwork, timelines, NPD Calendar, formula codes/ingredient lists, and status documents.
    • Handle cross-functional NPD requests related to influencer products, PR comps, retailer presentations, marketing, and photography needs.
    • Assist with meeting preparation, including the creation of NPD product comps (labeling, filling, gathering samples, etc.).
    • Handle miscellaneous projects, including sustainability and packaging assessments.

EXPERIENCE, SKILLS, + REQUIREMENTS

  • Minimum 1 year professional experience. 
  • 1-3 years of experience in beauty or skincare product development preferred (may include internship experience). 
  • Excellent project coordination and tracking skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Slides, Sheets, Docs). 
  • Prior administrative or office experience. 
  • Ability to work quickly, take initiative, and track the status of tasks while working independently. 
  • Self-motivated with a strong sense of urgency, intensity, and integrity. 
  • Comfortable multitasking, navigating shifting team priorities, and collaborating with external teams to drive requests as needed.
  • Must have reliable transportation to facilitate sample pick-ups/drop-offs at the Contract Manufacturer in Mahwah, NJ. 
  • Able to work in the US without the need for current or future sponsorship from employer. Immigration sponsorship is not available for this role.
