Full Job Description

The Van Dyk Group, a renowned real estate company, is seeking a Personal Assistant to the Chief Executive Officer (CEO) and Chief of Staff (COS) to join our dynamic team. As the Personal Assistant, you will provide comprehensive administrative support to the CEO and COS and ensure the smooth functioning of their daily operations. You will also assist with various tasks and projects, both internal and external, to help drive the company's success.

In this role, you will be responsible for managing the CEO and COS's calendars, coordinating travel arrangements, organizing meetings, drafting and editing documents, and handling confidential information with utmost discretion. You will also serve as a liaison between the CEO, COS, and internal/external stakeholders, facilitating effective communication and collaboration.


Responsibilities

  • Manage complex calendars, including scheduling and prioritizing appointments, meetings, and travel arrangements
  • Coordinate and prepare materials for meetings, including agendas, presentations, and reports
  • Handle correspondence and communications on behalf of the CEO and COS
  • Draft and edit various documents, including memos, letters, and presentations
  • Conduct research and compile information for reports and projects
  • Maintain and update confidential files and records
  • Assist with special projects and initiatives as assigned
  • Facilitate communication and collaboration between the CEO, COS, and internal/external stakeholders
  • Provide general administrative support, including photocopying, scanning, and filing

Requirements

  • Bachelor's degree in business administration, communications, or a related field
  • Proven experience as an executive assistant or personal assistant to top-level executives
  • Exceptional organizational and time management abilities
  • Strong written and verbal communication skills, with the ability to draft and edit documents
  • Proficiency in Microsoft Office Suite and other relevant software
  • Ability to handle confidential and sensitive information with discretion
  • Excellent interpersonal skills, with the ability to interact with individuals at all levels
  • Detail-oriented and able to multitask effectively
  • Ability to work independently and prioritize tasks
