Full Job Description
Mangone Law Firm LLC is seeking an Operations Manager to lead and oversee the daily operations of our immigration law firm. This role is critical for ensuring maximum efficiency, productivity, and strict compliance with all applicable legal and regulatory standards. We are looking for a strategic leader with exceptional management skills to support and advance the firm's objectives, continuously optimize operational processes, and enhance overall team performance.
Responsabilities
1.Oversee and streamline daily operations to enhance efficiency.
2.Develop and implement systems for the production team across all departments.
3.Ensure compliance with legal and regulatory requirements.
4.Lead and create training sessions for the production team across all
departments.
5.Identify, drive, and implement continuous improvement initiatives. Supervise,
train, and provide support to package, declaration and in office coordinators.
6.Manage and optimize resources for maximum productivity.
7.Maximize efficiency in all aspects of case preparation and submission and
document firm processes.
8.Set key performance indicators (KPIs) for the production team and weekly
strategies to ensure effective and high-quality production.
9. Hold one-on-one and group meetings with different production departments to
address questions, review cases, create case-specific strategies, and provide
personal weekly training.
10. Collaborate with different departments to improve processes and workflows.
Work with legal and other managers to supervise the different departments
through weekly meetings.
11.Supervise and improve Case Managers Department (project managers).
12. Monitor production, analyzing quality and metrics.
13. Coordinate the weekly planning process, the current system for bonuses and
accountability for forms and packages.
14.Work with the billing and client coordination departments to ensure weekly
production targets are met.
15. Assure appropriate staff levels based on actual and anticipated caseload,
develop, and submit staffing plans as needed. In conjunction with our HR
Administrator, recruit virtual or in person staff for various production departments.
16. Foster a positive and productive work environment. Prepare for and lead
weekly meetings, particularly the Friday activity for team bonding and core value
focus.
Requirements
Proven experience in an operations management role, preferably within a law firm or immigration-related environment.
· Demonstrated ability to lead and motivate teams, setting and achieving goals aligned with the firm’s vision.
· Expertise in overseeing daily operations, optimizing processes, and driving continuous improvement in a law firm setting.
· Excellent verbal and written communication skills to interact effectively with the team, clients, and other stakeholders.
· Strong ability to identify and resolve operational issues efficiently and effectively.
· Aptitude for making informed decisions based on data analysis to enhance operational performance.
· Proficiency in monitoring financial performance, managing budgets, and identifying cost-saving opportunities.
· Commitment to providing high-quality service and ensuring client satisfaction.
· Ability to develop and track KPIs and perform analyses to enhance operational efficiency.

- Proficiency in both Spanish and English.
- Ability to rapidly understand and adapt to new systems and procedures.
- Flexible and open to changes in work processes.
- Capable of working independently while also collaborating effectively as part of a team.
- Strong organizational skills to manage multiple tasks efficiently.
- Familiarity with computer applications, including Google Workspace/Suite, Excel, Slack, Monday.com, and case management systems such as CampLegal.
- Ability to respond promptly and appropriately to various situations and requests.
