Contract Specialist
The Contract Specialist reports to the Contracts Manager and supports all Triage business units, including Sales, Technology, Finance, and Compliance teams. This role involves editing and maintaining staffing services agreements and subcontracting agreements for all staffing programs. The Contract Specialist also serves as the primary point of contact for incoming client and staffing partner qualification requests, coordinating various contract actions to win, negotiate, administer, and close contracts for Triage. This role ensures compliance with applicable laws, regulations, and contractual terms and conditions. The position operates under limited supervision and direction, regularly exercising significant discretionary and decision-making authority. The Contract Specialist will assist with contract escalations and serve as a point of contact, helping to coordinate the work completed by the contracts team.
Major Position Responsibilities
- Support all aspects of contract management, including contract formation, solicitation, negotiation, administration, termination and closeout
- Review and negotiate contracts to ensure all comply with legal requirements and company policies
- Interact with Triage business units, clients and staffing partners directly regarding documentation requests and contract negotiations
- Will be point of contact for all staffing services agreements review and facilitate the review with Leadership, Sales, Finance and Compliance
- Manage all workload activities within a ticketing system and generate reports on metrics for completion and work in progress
- Assist with contract escalations and serve as a point of contact in helping to coordinate the work completed by the contracts team.
- Respond to questions regarding contract interpretation and provide clear, concise, and thorough analysis
- Identify legal and business risks, and escalate to leadership, when appropriate
- Serve as the point of contact for contract-related inquiries from both internal and external stakeholders
- Management and support of templates, policies, procedures, and various projects in support of Triage’s strategic goals and needs
- Ensure proper, accurate and up-to-date documentation and storage of all contract-related information
- Manage contract, license and registration renewals
- Responsible for administration of terms and conditions through IntelAgree and Bullhorn to ensure compliance with all statutory and contractual obligations, following award and throughout the contract life cycle
- Continuously evaluate and implement best practices in contract management to enhance efficiency and effectiveness
- Liaise with internal departments such as sales, finance, and operations to facilitate contract processes
- Provide guidance and training on contract policies and procedures to internal teams
- Other duties as assigned
Requirements
- Bachelor’s degree or paralegal certificate
- Minimum of 5 years of experience in a contract management role (preferably in both a corporate and law firm setting)
- Minimum of 1-2 years' experience in a senior role, including leading projects, mentoring junior staff, or contributing to the coordination of tasks within a larger organization.
- Excellent attention to detail, organizational skills, ability to manage multiple tasks at once and work with a variety of business stakeholders, including Sales, Technology, Finance and Compliance
- Strong analytical skills necessary to organize, plan, execute, and administer/manage contracts with various clients and staffing partners
- Initiative-taking with the ability to work independently and prioritize multiple tasks in a fast-paced environment and under time constraints and deadlines
- A collaborator with strong interpersonal (written and verbal) and collaboration skills
- Sales-oriented mind set
- Contract lifecycle management experience
- Experience negotiating contract language with third parties
- Strong drafting skills, with the ability to turn routine, standard staffing concepts into contractual language
- Proficient Microsoft Office Suite skills and other software relevant to the position (IntelAgree and Bullhorn is a plus), including adaptability to learn additional programs as required for the position
- Ability to utilize available technologies and tools to improve and promote efficiency, consistency, and compliance with contract requirements
- Ability to work quickly and independently with strong multi-tasking skills in a fast-paced environment, including the ability to budget time under the pressure of high volume contracts, multiple deadlines, and juggle conflicting priorities, with quality of output
