Full Job Description
The Lead Administrative Float provides quality and professional support to the Operational and Clinic Service Program’s administrative staffing needs while administrative position(s) coverage is needed. This position will also assist in training administrative support staff and will be expected to have a general understanding of both the universal and program specific tasks for the administrative support staff role. This position will be a team member of the Medical Records Team and provide back-up support to the Medical Records Coordinator. This position will collaborate and work closely with directors, management, administrative and clinical staff to support operational requirements.
Duties & Responsibilities:
Program specific administrative job duties will be determined based upon the length of float coverage and the primary needs of the program being covered.
- Ensure accuracy of client records in electronic health record (EHR) system for assigned programs by:
o opening/closing of client episodes
o weekly closing of treatment plans
o updating contact information
o assessing/reviewing documentation for accuracy
o sending corrections to teams
o scanning/attaching documentation
o managing processes related to releases of information (ROIs)
- Greet and assist visitors, promptly communicate with staff and supervisors regarding visitors, messages, requests, and information via telephone, email, and/or text/Tiger Text
- Schedule and coordinate appointments for employees and/or clients as well as make reminder calls as requested
- Assist with management of program specific applications and/or software (e.g. MHIS, HMIS, Tumbleweed)
- Collaborate and support supervisors, managers, leads and/or staff with administrative tasks as needed
- Prepare, export and provide specific tracking systems and/or reporting tools as required by the program
- Monitor, track and report clinical paperwork completion, staff note completion, electronic note entry errors as appropriate.
- Track client insurance eligibility (using MNITS) and authorizations as appropriate
- Assist Operations or administrative support staff in project completion and assignments as needed
- Train and support new hire and transfer staff in new administrative roles as requested
- Maintain positive communication with referral sources, professionals and others in the community
- Address financial and business obligations as program requires
- Administer programming which may include communication and maintaining relationships with landlords, entering of receipts and utility bills, and maintain client records
- Order and obtain office supplies as requested
- Processes incoming and outgoing mail
- Maintain compliance with applicable Minnesota Statutes or rules, including but not limited to DHS Maltreatment of Vulnerable Adults, Duty to Warn, Minnesota Data Practices Act, and HIPAA.
- Attend and participate in all scheduled team meetings as appropriate
- Maintain a pattern of regular work hours as determined by the Director of Operations or the needs of the program coverage
- Be able to accommodate flexible working hours and work location when needed
- Participate actively in ongoing professional growth and development; maintain appropriate professional behavior and participate in appropriate supervision.
- Other duties as assigned.
Requirements
- 2-year Associate Degree or 4 years administrative experience and record keeping.
- Proficient with the following computer software: Microsoft Word, Access, Excel.
- Vocational Training in Clerical/Bookkeeping.
Preferred:
- Experience in health care or human services environment.
- Excellent clerical and organizational skills.
- Vocational Training in Clerical/Bookkeeping.
