Job Overview
The Facility Operations Coordinator will be responsible for managing day to day facility activities at the Verterra site in support of business execution, product development and growing operations on our government / DOD customer contract(s) and internal research and development efforts. They will be responsible for coordinating facilities activities, administration, shipping/receiving activities, vendor management, procurement and inventory management as we scale up operations. They will work closely with the operations, engineering, programs and leadership teams and report directly to the COO.

Job Responsibilities
Facility Management
- Facility Administration: Coordinate daily site activities to ensure employees, vendors, and visitors can carry out operations effectively and safely.
- Facility Administration: Work closely with our facilities partners to coordinate, schedule and manage completion of operations activities.
- Administration: Perform basic administration activities at the site at the direction of the various departments and leadership team (E.g. Ordering office supplies, assisting with the coordination of team events).
Shipping and Receiving
- Coordinate Shipping and Receiving: Oversee the shipping and receiving processes, ensuring that all incoming and outgoing shipments are handled promptly and accurately. This includes tracking shipments, managing shipping documentation, and addressing any issues that arise.
- Mail Management: Regularly check and distribute incoming mail and packages. Ensure that important correspondence is directed to the appropriate team members promptly.
Procurement
- Vendor Management: Coordinate with the Engineering Team to find, source key vendors and manage the communications.
- Visitor Follow-up: Update the Engineering Team on timelines and progress from vendors.
- Purchasing: Collaborate with the Engineering Team on all items needed to be purchased by the company.
- Record Keeping: Maintain accurate records of all office operations, including financial transactions, correspondence, and inventory.
Inventory
- Tracking System: Develop and oversee a tracking system for all items in the shop.
- Cost System: Develop and coordinate with the Engineering and Financial Teams to track the individual items and unit costs of items employed in prototypes to ensure an accurate understanding of a prototypes costs.
Experience & Qualifications
- U.S. citizenship required
- Typically requires Bachelor’s degree in a relevant field and 3 years of prior relevant experience or an Advanced degree and 1 year of prior relevant experience
- Experience working in Operations, Facilities, Construction, Project Management or Construction Management
- Experience working Government or DOD programs
