Salary: $77k-87k annually based on experience

Schedule/Location:

  • Full-time, approximately 40 hours/week. Primarily within office hours between 7am-5pm Monday - Friday, evenings and weekends as needed.
  • Location: In-person; home site is our Golden Valley location. Frequent travel to our other locations (St. Paul, Coon Rapids, and Woodbury).

Interview Process: Phone interview followed by 2 department interviews. Must be able to successfully pass a background check and motor vehicle background check.

Job Summary: 

The Facilities Manager is responsible for leading the facilities department staff and for overseeing all organizational buildings, grounds, equipment and vehicle maintenance programs. The Facilities Manager also plays a crucial role in planning and executing projects, budget management, and cross-departmental collaboration, ensuring that the facilities support the organization’s overall mission and operational needs. This position requires a blend of technical expertise, project management and practical experience in facilities management.

Essential Functions:

Maintenance and Repairs:

Oversee routine maintenance and repairs to ensure buildings, grounds, equipment and vehicles are in good working order.

Coordinate and manage facility repairs and maintenance by working with technicians, vendors and contractors.

Inspect buildings and grounds to ensure they meet safety regulations and are well-maintained. Suggest operational efficiencies, repairs and upgrade opportunities.

Negotiate and oversee contracts with external service providers for maintenance, HVAC, cleaning and other facility related services.

Facilities Operations:

Develop, propose, and implement innovative strategies that increase the efficiency and effectiveness of the team, process, and procedures.

Maintain positive vendor relationships and conduct meetings on unresolved facility issues.

Assist in preparing and managing the department budget.  Complete monthly financial reporting as required by Finance.

Review invoices for payment, reconcile against product received or work completed to ensure accuracy.

Act prudently to safeguard and use assets and resources consistent with the best interests of the organization.

Ensure invoices are submitted for payment on time and are coded correctly. 

Project Management:

Assist with defining project scope, objectives and developing detailed plans that outline timelines and budgets.

Oversee day-to-day progress of renovations and updates to facilities and report on progress to internal stakeholders.

Deliver projects on time, within scope, and on budget while also meeting stakeholder expectations.

Assist with the selection of vendors and contractors for capital projects.

Ensure project documentation is complete and up to date.

Leadership:

Provide supervision, coaching, and development to direct reports as noted on the organizational chart, acknowledging accomplishments and providing regular feedback.

Conduct one-on-one meetings with direct reports to ensure team members have the resources and support to be successful.

Address and resolve any issues or conflicts within the team.

Review and approve timecards and requested time off within payroll deadlines, working closely with employees to resolve discrepancies.

Communication and Culture:

Communicate in a positive and professional manner with customers, other employees, and volunteers.

Promote a culture of diversity, equity, and inclusion to make AHS a welcoming environment for all.

Technology:

Monitor facilities ticketing and vehicle logistics software.

Monitor AHS email and other messaging software.

Other duties as assigned.

Additional Information:

Schedule and Attendance:

Regular, predictable attendance, punctuality, and availability to work during operational hours.

Attend and participate in regular team meetings, leadership meetings, all-staff meetings, and one-on-one meetings with direct leader.

Must be able to travel to a different work site based on department needs

May be required to attend occasional off-site meetings and events.

Ability to be on call for after hours, time sensitive facilities matters.

Work Environment:

Primarily office/desk based.

Environment can be dirty, wet, warm, and humid.

Exposure to unpleasant odors, chemicals, and noises, including barking.

May be exposed to extreme weather conditions including but not limited to cold, heat, rain, and snow when outside.

Requirements

Experience:

5+ years of leadership experience in facilities, construction management, project management or similar field required.

Proven ability to manage facility operations, including maintenance, security and administrative services.

Skills:

Excellent communication and interpersonal skills, with the ability to build relationships at all levels of the organization.

Strong financial acumen, with experience managing budgets and forecasting.

Strong project management skills with the ability to oversee multiple priorities simultaneously.

Strong multi-tasking, conflict-resolution, and problem-solving skills.

Proficient with computers, specifically a working knowledge of Microsoft products.

Physical Demands:

Must be able to lift, carry, and handle items up to 50 lbs. unassisted.  For items over 50 lbs., assistance from another team member is required. 

Prolonged periods of sitting, standing and walking.

Emotional Demands:

Must be comfortable with the emotional aspect of work in an animal shelter environment, including the use of humane euthanasia.

Transportation:

Valid driver’s license and reliable transportation required.
