Full Job Description
This position is a full-time role, providing dedicated support to a project team and Partners. The aim of this role is to track all the administrative details and clear the path for the team and Partners. This role requires a proactive individual with excellent multitasking abilities, strong communication skills, and a keen attention to detail.
The position contributes to EP’s organization and efficiency, working to create and complete project specific tasks, as well as coordination needs in a timely and cost-effective manner.
While repetitive tasks are certainly part of this position, the tasks assigned can vary week to week based on the needs of EP. The most important responsibility is to ensure that administrative tasks and projects are completed with a high level of efficiency, positivity, accuracy, flexibility, and confidentiality to support EP.
This position will evolve with time. As familiarity with EP grows, further areas for role expansion will be identified.
Requirements
- Proactively plan key events such as all-hands meetings, team offsites, and regular staff meetings.
- Evaluate business needs or requests in terms of importance and use independent judgement to act.
- Manage team and Partner calendars and coordinate meetings as required.
- Review documents to ensure accuracy and quality and modify as needed.
- Proactively manage deadlines and timelines for the team and Partners supported.
- Ability to take on ad hoc projects and processes.
- Accurate and timely tracking of projects using project management software (LiquidPlanner).
- Communicate project statuses to the team effectively.
- Work effectively as an integral member of a team.
- Take on additional duties and projects as assigned.
Minimum Qualifications:
- Proven experience as an administrative assistant, project coordinator, or similar role.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy to work.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively in a team environment.
- Flexibility and adaptability to changing priorities and deadlines.
Preferred Qualifications
- 4+ years experience in a similar role
- Experience working in a fast-paced environment, preferably in a project-based setting.
- Associates or Bachelors Degree
