VIA is looking for a highly motivated People and Operations Administrator to deliver best-in-class support and logistics needs for all VIAneers. In this role, you will help deliver an exceptional workplace experience to our team around the globe through thoughtful management of sensitive employee information, high quality benefit program support and administration, and identification of creative opportunities to enhance our processes..
Individuals who will excel in this role are motivated by providing an outstanding support experience to VIAneer’s across the globe with flawless execution of VIA’s human resource processes.
In this role, you will:
- Be the go-to expert on VIAneer employee benefits and perks. This includes:
- Guide VIAneers through existing company processes such as paid time off, leave of absences, and benefit enrollment requests
- Help VIAneers navigate special administrative needs with care and attention to detail
- Work with the People and Operations team to ensure a seamless onboarding experience for new VIAneers, such as supporting onboarding scheduling, providing a memorable “first day in the office” experience, and coordinating equipment and new hire gifts
- Be the driving force behind the efficient and engaging VIAneer experience with the People and Operations team
- Manage the relationships for any human resource system providers, including but not limited to, TriNet, BambooHR, Lattice, background check companies, and/or local state leave agencies
- Ensure the high-quality management of data in those systems
- Elevate the in-office experience by overseeing day-to-day office operations, including:
- Manage building property management companies and external vendors needed to support local offices
- Lead office operations at VIA’s HQ, including managing all ordering, set up, organization, and inventory of office supplies or equipment
- Provide a friendly and consistently impressive guest experience for all of VIA’s visitors
- Plan and facilitate team events, activities, and travel (i.e., group lunches, corporate events, social activities, etc.)
- Drive thoughtful process improvement as the company scales, including:
- Supporting the research, implementation, and documentation of new administrative resources, tools, policies, procedures, and programs
Requirements
What you will bring to this role:
- 2+ years of experience as an executive assistant in startup operations, Human Resources (HR), or a similar administrative role
- A passion for organization, communication, and interpersonal skills
- Ability to prioritize and handle multiple initiatives at any given time
- Experience planning and executing world-class events
- High level of integrity, discretion, and professionalism
- Familiarity with Google Suite, a plus
