Position Summary:
The position provides administrative professional responsibility, alongside the management team in a residential rehabilitations setting. Responsibilities will include registering new individuals seeking services, maintaining employee compliance, conduct daily and monthly billing services and utilization of an electronic health record and electronic billing system. The Administrative Assistant will work with the management team to design and implement office needs of the program.
Essential Functions/Position Responsibilities:
1. Work collaboratively with individuals and community referral sources seeking services, register new individuals into the electronic health record.
2. Work with vendors to coordinate deliveries, purchases and maintenance.
3. Take meeting minutes for relevant meetings.
4. Schedule meetings and appointments with other departments, vendors and other relevant parties.
5. Update electronic health record with applicable information in a timely manner.
6. Verify insurance eligibility utilizing internet and telephonic sources. Preparation, data entry and submission of billing information in a timely manner.
7. Act as a liaison to other departments and administrative professionals across the agency.
8. Assist with the teaching of administrative processes to supervisors and staff.
9. Make copies, compile reports and data.
10. Work collaboratively with the Program Director, Vice President of Clinical Operations and Fiscal Department to assure all aspects of third party verification, documentation, coding and billing in a timely manner.
11. Scan documentation and upload to the electronic health record in a timely manner.
12. Complete required documentation in a timely manner, meeting regulatory standards.
13. Work collaboratively with members of the interdisciplinary team.
14. Actively participate in all licensing and accreditation processes.
15. Promote and integrate agency mission, values, philosophy and principles.
16. Perform other similar duties as assigned by the Program Director.
Requirements
Education and Professional Experience:
· Experienced customer service professional, skilled in front desk management, insurance eligibility verification, use of electronic health record system and proficient in computer systems.
· Bilingual preferred
Physical Demands and Work Environment
While performing the responsibilities of this job, the employee is required to speak and hear. They may sit for extended periods of time, stand, walk, and bend over. Occasionally may reach overhead. Employee must grasp, push, pull and move objects not exceeding 20 lbs. Vision abilities required by this job include visual inspection, visual perception, eye/hand coordination, ability to see and read a computer screen and printed matter with or without vision aids. Hear and understand speech at normal indoor and outdoor levels, and on the telephone.
Work is normally performed in a typical interior/office work environment with typical office noise and other disruption or in a participant’s residence. Job requires occasional driving to programs to work with participants and staff.
