IT Concepts is currently seeking a creative and innovative Staffing Assistant/Communication Coordinator to become part of our team. This role will encompass providing support in recruiting functions and processes for both our business verticals and corporate units. We are seeking a highly organized and proactive individual who can fulfill the dual role of Administrative Support and Recruiter. The ideal candidate will be responsible for offering comprehensive administrative support to various departments, while simultaneously managing the recruitment process for new talent. This role plays a crucial part in ensuring smooth operations and acquiring top talent to support our federal government contracts.
Position location: This role can be performed in a remote work environment. Note, candidates must work east coast working hours.
Key Responsibilities:
Administrative Support:
- Collaborate with hiring managers to create new job descriptions and requisitions.
- Manage and schedule appointments and meetings for the program.
- Oversee various functions of the Applicant Tracking System (ATS) and work with the Hiring Managers for interview feedback and entry into the ATS.
- Assist in capturing metrics, preparing reports, presentations, and other documents.
- Organize and maintain physical and electronic files and records.
- Creation of meeting minutes for meetings, newsletter updates, and reminders.
Communications Support:
- Responsible for updating email groups with additions and removals.
- Send out program-wide communications to employees and subcontractors.
- Prepare welcome email once a candidate is selected on the program.
- Handle new hire orientation for resources.
- Handle incoming emails and correspondence professionally.
- Escort new employees to the Government site for badge and equipment pickup.
Process Improvement:
- Create and update existing Standard Operating Procedures as needed.
- Collaborate with recruiters and hiring managers to understand hiring needs, job requirements, and desired candidate profiles.
- Provide suggestions and insights to improve recruitment processes, tools, and strategies.
- Collaborating with the HR department to ensure compliance with all federal and state regulations and reporting requirements.
Suitability:
- Serve as the main contact for candidates, providing updates, guidance, and addressing inquiries related to the suitability process.
- Review and verify the accuracy and completeness of suitability forms and documentation, ensuring adherence to standards and compliance requirements.
- Follow standardized procedures, track candidate progress, and identify opportunities for process enhancements to improve efficiency and effectiveness.
- Generate reports on suitability process metrics, ensure compliance with legal and company policies, and manage risks associated with the process.
- Coordinate with HR and other departments to facilitate the suitability process, provide training and support, and manage related systems and tools.
Day to day:
- Maintaining communication to the program for standard documentation.
- Administrative capture of meeting minutes and updating of email groups.
- Updating job requisitions with Hiring Managers for new positions.
- Sending welcome emails to new hires.
- Building positive relationships with Hiring Managers, internal and external stakeholders.
- Coordinate and confirm interview schedules, agendas, directions, new-hire instructions, and onboarding.
- Provide pre onboarding support as assigned (pre hire documentation, security processes, etc.)
- Continuously promote the ITCs brand and culture.
- Conduct job and track intake calls with Hiring Managers to assess job duties and requirements.
Requirements
- Experience supporting a federal government contract or the federal government directly.
- Bachelor’s degree (minimum).
- Proven ability to build relationships and engage all stakeholders to arrive at optimal outcomes.
- Excellent communication and negotiating skills.
- Excellent written communication skills.
- Strong proficiency with Microsoft Word, PowerPoint, Excel, and Outlook.
- Ability to work independently, and able to work with high-performing project management team.
- Self-motivated to complete tasks as needed.
