Turntable Counseling, LLC, is a Black-owned and WOC-operated Private Practice accessible to Montgomery, PG, Howard, and Anne Arundel Counties, looking for an Office Administrator to join our expanding location in Burtonsville, MD. As a group mental health practice, we assist our clients with creating their own paths to healing and turning the tables on their lives. We specialize in Anxiety, Self-esteem, and Life Transitions serving both private pay and insurance-based clients. 

We are currently looking for an administrative professional who is looking to build their business management skills in the mental health private practice sector. The ideal candidate will be a master multitasker, have excellent processing and system structure skills, and have empathy to speak to and engage with people who are most in need and vulnerable in our community.

The Office Administrator reports directly to the Practice Manager who will serve as their immediate supervisor.

Essential Functions:

  • Serve as the initial contact within the agency, greeting patients, families, stakeholders, and other visitors in a friendly, courteous, professional manner
  • Maintain daily inquiries via phone and email and directing queries to the relevant member of staff or department
  • Sort, screen, distribute and document incoming calls
  • Schedule new clients and maintaining schedules of existing clients
  • Send client reminders to ensure intakes are prepared for session
  • Check patients in and out in a professional manner
  • Coordinate office availability with clinicians to ensure that sessions can be had seamlessly
  • Update clinician schedules within Google Sheets to provide seamless scheduling
  • Provide general administrative support, such as paperwork, data entry, scanning, photocopying, printing, and faxing.
  • Manage and organize our record system
  • Complete all administrative processes and procedures in adherence to company standards and policy
  • Ensure proper collection of patient data for medical insurance preauthorization and billing protocols
  • Verify client insurance benefits
  • Maintain invoice and billing processes set forth by owner/practice manager
  • Process insurance payments and EOBs 
  • Maintain a high level of customer service at all times
  • Abide by HIPPA regulations
  • All other duties as assigned

Requirements

Education and Experience:

  • At least 2 years in an office environment, or at least 1 year in a Mental Health office setting.
  • Clear and concise verbal and written communication is a non negotiable
  • Experience working with people of racial/ethnic backgrounds, children, adolescents, families, couples, groups, and/or adults

Knowledge, Skills, and Abilities:

  • Ability to work in-person for all shifts between the hours of 9am-8pm Monday-Friday
  • Willing to work at least 20-25 hours per week part-time with the option to extend hours as needed
  • Organizational skills and ability to manage patient records
  • Self-discipline and ability to set priorities in regards to documentation

Preferred Qualifications:

  • Experience working in front desk positions in a healthcare setting
  • Experience with insurance billing, medical billing and coding or insurance verifications
  • Ability to work afternoon/evening shifts that end at 8pm on weekdays
  • Some college, preferred
