The Administrative Assistant will be integral in providing support across multiple teams, including client accounting services, auditors, and tax teams. This part-time position requires a flexible schedule, including Saturdays and potential overtime during peak seasons. Your coordination with other administrative staff is essential to ensure seamless front desk coverage.
Key Responsibilities:
Accounting Support:
- Preparing and processing deposits and payments.
- Managing accounts receivable through client communications.
- Assisting with tax form processing and scanning.
- Maintaining financial databases and ensuring proper document management.
- Efficiently logging and handling audit and tax deliverables.
- Additional responsibilities as assigned by the supervisor.
Administrative Duties:
- Scheduling appointments and managing calendars.
- Answering and directing phone calls with exceptional client service.
- Demonstrating excellent organizational skills to prioritize tasks.
- Composing correspondence, memos, and reports.
- Ordering office supplies and ensuring adequate inventory levels.
Requirements
- Minimum of 3 years of recent office experience - Required.
Essential Skills:
- Proficiency in Microsoft Office Suite.
- Speedy typing skills, at least 50+ words per minute.
- Familiarity with office machinery, including fax machines and copiers.
- Basic math skills.
- Foundational knowledge of accounting and finance.
