We are currently seeking a full-time Student Account Representative to join our team of exceptionally motivated and passionate professionals. Summary:

The Student Account Representative is responsible for ensuring timely collection of outstanding balances and assisting in the management of student billing accounts. This role is responsible for providing exceptional customer service by assisting with billing inquiries, processing payments, coordinating payment plans, and supporting the collection of past-due accounts. The representative ensures that all payment transactions are accurate and timely. This position requires excellent communication, organizational skills, and attention to detail to manage student accounts

Duties and Responsibilities:

  • Account Management & Reconciliation:
    • Monitor delinquent accounts, contact students to resolve past-due payments, and coordinate with external collection agencies if needed.
    • Provide customer service by assisting with the collection of tuition payments, managing payment plans, and ensuring accurate account reconciliation.
    • Answer incoming calls and make outbound calls to discuss the status of student account balances and payment plans.
    • Maintain the department's email account, responding to messages within the same business day.
    • Identify accounts with credit balances, verify their accuracy, and initiate the refund process for students and parents.
    • Void and reissue refunds as necessary to correct account discrepancies.
    • Act as a liaison between students, staff, and faculty for inquiries regarding student financial accounts.
    • Process payments received by mail or in person (e.g., money orders, checks) and ensure deposits are applied accurately to the appropriate student accounts.
    • Review and create payment plans, investigating any anomalies and ensuring agreements are met.
  • Cross-Departmental Collaboration:
    • Collaborate with Financial Aid, Registrar, and Admissions offices to process student withdrawals, cancellations, and terminations, ensuring compliance with federal regulations and institutional policies.
    • Assist in setting up new student accounts each semester and participate in new student orientations to explain financial obligations.
  • Policy Knowledge & Compliance:
    • Stay up to date on admissions, scholarship, academic program requirements, accounting standards, and college policies.
    • Ensure that federal guidelines, as well as institutional financial policies, are consistently upheld in all financial transactions.
  • Technology & Reporting:
    • Utilize CRM software and other technology tools to manage student financial information and provide reporting on payment statuses, outstanding balances, and account reconciliation.
    • Assist with departmental reporting and maintain accurate records of all account activities.
  • Additional Responsibilities:
    • Assist with other projects and tasks as assigned by the department.
    • Support superior quality customer service while upholding accountability for students' financial agreements and working toward departmental goals.

Requirements

Education:

  • Associate’s Degree in Business Administration, Accounting, or a related field.

Experience:

  • Minimum of 2-3 years of experience in collections, student accounts or similar work is preferred.

Skills & Abilities:

  • Strong communication skills, both verbal and written.
  • Attention to detail, organizational skills, and the ability to handle sensitive information with confidentiality.
  • Negotiation skills: The ability to negotiate and resolve customer disputes.
