Full Job Description

Position Summary:

The purpose of this position is to provide operational support for the Seminary, with an emphasis on fiscal organization. This is achieved by maintaining a professional, efficient, and hospitable work environment that engenders the confidence of all constituencies including Seminary students, Seminary administration and faculty, the rest of North Park University, the Evangelical Covenant Church, and other external constituencies.

 

* Fiscal Responsibilities:

o   Prepare and submit expenditure forms to the Business Office.

o   Prepare annual budget to submit to the Business Office.

o   Track and monitor spending by budget area throughout the fiscal year.

o   Coordinate Special Billing arrangement with the Financial Aid and Business Offices for special programs.

o   Assist Deans in management of grants received by NPTS, ensuring grant policies are followed and necessary reporting is submitted on time.

o   Track and monitor restricted fund balances.

o   Review and approve Purchase Card charges of Seminary employees.

o   Draft and manage MOU’s

o   Coordinate sending student workers/TA’s HR paperwork.

 

* General Seminary Administration and Hospitality

o   Distribute interoffice mail.

o   Prepare check requests.

o   Maintain room reservations.

o   Maintain general appearance of Nyvall Hall (i.e., copy room, kitchen, lounges, etc.).

o   Monitor and order office supplies.

o   Conduct periodic website audits.

o   Coordinate transportation requests, reserve university vehicles, and recruit drivers.

o   Maintain a resource list of housing options in the neighborhood for visitors to campus.

o   Assist Student Services in coordinating short-term housing and hospitality for students during intensive classes.

o   Coordinate AV support at various on-site and off-site meetings and classes.

o   General filing

 

* General Seminary Support:

o   Coordinate sending new adjunct faculty HR paperwork.

o   Coordinate student workers/TA’s: sending new hire paperwork, track and approve student worker timesheets.

o   Create and process Personnel Action Forms through HR.

o   Track and calculate faculty overload payments.

o   Represent NPTS on various University committees as requested (e.g., staff council, Academic Technology Committee, Security Committee).

* Building & Facilities Responsibilities:

o   Maintain room reservations

o   Order Office Supplies

o   Maintain general appearance of Nyvall Hall (i.e., copy room, kitchen, lounges, etc.)

o   Serve as the liaison between the Seminary and Physical Plant and IT.

o   Liaise with 3rd party vendor for copier/printer maintenance.

o   Facilitate office moves and relocations.

o   Provide AV/IT support to faculty and staff

 

* Communication/AV Support

o   Assist faculty in resolving tech issues in classrooms.

o   Arrange for AV equipment for Seminary classes during Midwinter Conferences both in Chicago and outside of Chicago.

o   Assist in updating seminary website with provided content

Requirements

Essential Qualifications:

  • At least a bachelor’s degree in related field or satisfactory combination of education and prior experience
  • A clear understanding and personal commitment to North Park’s mission of Christian higher education
  • Ability to handle confidential and sensitive information with discretion and good judgment
  • Ability to initiate, organize, prioritize, modify, and complete necessary tasks in a timely manner
  • Ability to responsibly handle large scale projects from start to finish
  • Ability to read and interpret documents pertaining to policies and procedures
  • An orientation to detail and precision
  • Intermediate personal computer skills, including electronic mail, routine database activity, and Microsoft Office programs (i.e. an aptitude sufficient to maintain records and schedule tasks.) Ability to communicate effectively (both verbally and in writing) with students, faculty, staff, the wider University, the Evangelical Covenant Church and other outside constituents in a friendly and business-like manner.
  • Ability to work within a growing, changing community of theological education
  • Minimum four years of office experience required
