USA Clinics Group is seeking a motivated and organized Executive Assistant to fully support to the Senior VP of Operations and managerial staff to help ensure operational compliance. This position is full-time at our corporate office in Northbrook, IL. The pay is between $24-$30/hr.
RESPONSIBILITES
- Support, assist, and coordinate tasks as assigned to ensure accreditation standards (AAAHC, ACR, CLIA & IAC) are maintained nationwide.
- Assist in coordinating corporate meetings, but not limited to, Quality Improvement & Governing body.
- Prepare and maintain committee minutes, notices, analysis reports, correspondence, calendars, agendas, and presentations using computerized software programs including Microsoft Office.
- Assist with preparing centers for inspections, surveys, audits and ensure completion of readiness checklist.
- Assist with monitoring and adherence to established new clinic development timelines.
- Work with vendors to order and deliver all necessary equipment/supplies.
- Organize and schedule mandatory annual clinic in-services.
- Assist in updating all necessary electronic manuals (P&P, Radiology, Laboratory).
- Oversee, conduct, and manage audit activities to ensure operational integrity.
- Travel as needed throughout the United States to ensure operational efficiency within the centers.
- Assist in developing, implementing, and evaluating all operating policies, procedures, and safeguards for efficient, effective, and timely workflow.
- Research and analyze information, compile data to prepare special reports containing KPI (Key Performance Indicators) following the Senior VP’s direction.
- Organize various complex projects from initiation to completion.
- Support implementation of new policies, procedures, or practices to improve efficiency of office operations.
- Prepare correspondences, scheduling meetings, maintain executive calendars, routine record keeping and prepares spreadsheets.
- Investigate, evaluate, and resolve problems within scope of position.
- Assist in creating, organizing, and maintaining communication channels between all members of the team.
Requirements
Required
- At least 1-2 years in similar position
- Able to travel out of state as needed (up to 20%)
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
Preferred
- Accreditation and regulatory survey process experience
- Bachelor's degree
- Healthcare or hospitality experience
