We are seeking a full-time Events & Operations Associate to join our team. This role's main goal is to help in the seamless planning and execution of events, providing exceptional support to our clients and members. This position will handle a variety of tasks, from initial client contact and event sales phone calls to day-of-event coverage and setup.
The Events & Operations Associate will also assist our team of Community Managers in the day-to-day operations of our various community spaces. This role is responsible for helping to create and maintain a vibrant sense of community and well-functioning space. This role is ideal for a detail-oriented individual who thrives in a fast-paced environment, enjoys taking responsibility, and is eager to contribute to the success of a dynamic event planning team. This position is on-site, Monday-Friday.
Responsibilities:
- Serve as the on-site contact for events: Oversee event setup, management, troubleshooting, and cleanup as required.
- Support the Event Sales Manager by collecting client information and assessing their event or conference room needs.
- Assist in planning and executing in-house Workbox events and works across departments to achieve success.
- Provide event sales support, assisting with the entire sales cycle from initial contact to closing the sale.
- Assist with managing event planning tasks, including scheduling, agendas, guest lists, and insurance, while confirming details with clients and finalizing arrangements before the event.
- Engage regularly with members and guests to inform maintain an enjoyable community atmosphere.
- Assist Community Managers and the Business Services team in implementing community events within the space, including stocking supplies, taking photos, and helping with set-up and break-down.
- Consistently provide excellent customer service by assisting members, greeting visitors, and receiving deliveries.
- Take responsibility for the cleanliness of the space by conducting frequent walk-throughs.
- Work with Community Managers on opening, closing, and day-to-day operations of the space.
- Provide space and/or events coverage during any Event or Community Manager absences.
- Build and maintain vendor relationships including but not limited to caterers, audiovisual technicians, décor companies, and other vendors to ensure quality service and support.
Requirements
- Strong background in customer service and communication
- Experience in office administration (e.g. billing, phone, management platforms)
- Comfort with changing priorities and ambiguity
- Extraordinary organizational skills and attention to detail
- Excellent computer skills and proficiency in troubleshooting technologies
- Consistent ability to meet deadlines and get things done
- Eagerness to learn new things, provide feedback, and grow with Workbox
- Flexibility to work irregular hours, including evenings as needed
- Ability to lift and carry items weighing 20-25 lbs. as part of routine job duties
