The Epic Services Coordinator is a key position with two main areas of focus: recruitment functions and administrative support.
The Epic Services Coordinator will assist in integrating team members to the Epic Services Team and client environments. Including resume writing and preparation, candidate sourcing, system management, and assisting in onboarding functions. The role will also provide vital support to our team by communicating updates, monitoring deadlines, and maintaining and organizing records across various systems. This role requires strong organizational skills and the ability to manage multiple tasks efficiently.

Requirements
Essential Role Responsibilities
Recruiting Support:
- Create, format, and review templated Prominence resumes with candidates’ experience and credentials for submission to client opportunities.
- Monitor candidate resumes in the ATS system to ensure Prominence formatted resumes are ready for client submission including updating experience, certifications, reformatting, etc.
- Continuously manage and update candidate pipelines, ensuring accurate tagging of experience and certifications within each pipeline, identify and resolve duplicate entries, and maintaining organized, up-to-date candidate records in Prominence’s ATS system.
- Continuously monitor, update, and review applicant “tags” in Prominence’s ATS system to identify candidates that could facilitate open roles.
- Assist in scheduling and coordinating interviews between applicants, the Recruiting team, the Epic Service Team Lead, and/or the Client Engagement Manager.
- Source candidates to fill open roles as needed.
- Review referral submissions for qualified candidates and alert the Recruiting team of profiles that align with open positions.
- Conduct reference checks on candidates as needed.
Administrative Support:
- Drive communication between Sales, Recruiting, Epic Services Team Lead, and Engagement Managers, ensuring action items are being taken and projects are moving forward during the Recruiting stage.
- Provide administrative support to ensure opportunities, candidates, and team member profiles are linked appropriately between various systems.
- Assist in monitoring opportunities that are uploaded in client submission portals, alerting sales of potential opportunity and adding candidate submissions as needed.
- Complete onboarding information for new team members to initiate the onboarding process within various HR and IT systems.
- Assist HR and the Client Engagement Manager with onboarding team members to the client and the Epic Services team.
- Ensure employee agreements being executed and stored properly, while updating the HR team to start the onboarding process for new team members.
- Track client materials for team members during the onboarding and offboarding stages, complete audits on tracked information as needed.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Education, Training, & Experience
2+ years of experience in the following areas:
- Healthcare industry knowledge and experience
- Talent acquisition
- Resume writing and formatting
- Competency with Microsoft Office products is required. Competencies in systems including Workable and Salesforce is preferred.
