We typically serve over 700 children per year with the goal to double our impact across our communities. THE ROLE
Title: Development Services Assistant (Temporary)
Status: Temporary (March – May) - Part-Time (20 hours/week)
Reports to: Donor Services Manager
Department: Development
Position Description: The Development Services Assistant role at Make-A-Wish Illinois requires a highly organized and detail-oriented team member to provide vital administrative support to our Development Services and Signature Events team during one of our most exciting and impactful seasons: the lead up to the annual Wish Ball. This temporary role offers an opportunity to contribute to our mission of granting life-changing wishes while gaining hands-on experience in nonprofit event operations and development services.
Essential Duties & Responsibilities:
- Provide comprehensive administrative support to the Development team to ensure the successful execution of the Wish Ball, our signature fundraising event
- Assist with data entry, donor acknowledgements, creating invoices, and maintaining accurate records in donor databases.
- Coordinate event materials, mailing, and logistics to support the evening planning process
- Assist with auction item tracking, shipping of silent auction items, guest lists, and event communications.
- Maintains up-to-date contact information for all Wish Ball attendees
- Creates tasks in Salesforce on attendee records to collect research information
- Updates attendees’ records in OneCause with Salesforce Contact IDs and Board Member names on company sponsored tickets
- Works with Signature Events Coordinator to generate summaries of missing marketing materials from sponsors.
Requirements
Qualifications:
- Demonstrated experience in data entry with exceptional attention to detail
- Strong organizational skills with ability to prioritize tasks and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort working with databases
- Familiarity with Salesforce and OneCause Event Platform
- Effective communication and interpersonal skills
- Ability to cope with and embrace change, risk, and uncertainty.
- Ability to work independently and self-manage to achieve goals while being a strong team player.
- Previous experience in administrative support or event coordination is a plus
Benefits
Hiring Range: $20/Hour
Work Schedule and Location: This is a temporary, part-time role from March through May, requiring approximately 20 hours per week. This role requires 4 hours/day across a work week of Monday-Friday. The schedule is hybrid with Tuesday & Thursday in-person at the corporate office (200 W. Monroe, Suite 1801, Chicago, IL 60606) and M/W/F are remote. Business needs may dictate occasional need to adjust the hybrid schedule and team member is expected to be able to accommodate the organization’s physical presence needs as part of their hybrid work agreement.
Time Off:
- 15 PTO days (Accrual basis on a biweekly payroll basis)
- 8 Sick Days (Accrual basis on a biweekly payroll basis)
- 8 Paid Holidays + 3 Floating Holidays
- Last Week of Year Off (12/24 – 1/1)
