About the Role

In order to achieve its ambition of serving 80,000-100,000 Fellows over the next decade, Braven is hiring a Coordinator of External Affairs Operations who will manage donor acknowledgments, plan and execute the operations of cross-functional stakeholder campaigns (annual holiday campaign, etc), plan and execute logistics for teamwide gatherings, and manage back of house data and operations compliance. As a member of the External Affairs team you will play a pivotal role in the quality of our external affairs operational systems and data tracking so that we can maintain quality and efficiency as we scale.

This role is on the External Affairs team and reports directly to the External Affairs Managing Director of Development.

What You’ll Do 

External Stakeholder Management (55%) 

  • Internalize the vision for and manage the execution of cross-functional external stakeholder campaign operations such as 1) annual holiday mailings to supporters, 2) annual jobs and impact report printing, release, and personalized email campaign, 3) Giving Tuesday campaign, and 4) support large stakeholder events like the annual summit 
  • Build best-in-class resources for Salesforce stakeholder data entry and ensure team compliance, as well as conduct regular data audits and clean up 
  • Ensure adherence to best practices for knowledge management of Braven’s external stakeholders in our systems (such as Confluence and Salesforce)

Donation Management (35%)

  • Collaborate with the Director, Planning & Grants to manage processes for all funds received in a timely manner, including: 
    • create Salesforce accounts and opportunities for all donations received
    • ensure accuracy and troubleshooting misalignment between finance/accounting and development tracking systems
    • ensure concurrence with and reconcile expected donations and money received 
  • Manage workflow to ensure timely and accurate gift acknowledgment letters from Braven (including regional Executive Directors, the CEO, and external affairs team)

Team Operations (10%) 

  • Provide logistical support for external affairs cross-functional projects (including but not limited to project managing conference attendance and Salesforce)
  • Other duties as assigned

Requirements

Minimum Requirements 

  • BS/BA or equivalent experience

  • Work Experience: 1+ years of administrative experience preferred
  • Highly-developed attention to detail and customer-service orientation
  • Strong organization & communication skills – ability to manage multiple projects concurrently and independently
  • Great proactivity and self-direction skills; including the ability to manage up 
  • Strong professional judgment and maturity
  • Adaptable & flexible – thrives in ambiguity and finds joy in collaborating deeply with many other stakeholders and being a part of a rapidly growing organization

Work Demands

  • Ability to work in-person in Washington, D.C., Wilmington (DE), Atlanta (GA), Chicago (IL), Newark (NJ), or New York City (NYC) at least 3 days per week
  • Ability to travel 4-8 times annually out of state for team events

  • Authorized to work in the U.S.

Benefits

Compensation and Benefits

The salary for this position, which depends on prior work experience and our assessment of your demonstrated fit for the role, will likely be between $44,500-$55,600 in Atlanta; $46,800-$58,500 in Chicago, Wilmington, and Washington, D.C.; $51,600-$64,400 in Newark or New York City. This is based on a 50-hour work week at an hourly rate. This is a full-time regular, non-exempt, and benefits eligible position where you will be working at 100% capacity. Braven offers competitive base salaries based on the midpoint of the market among not-for-profit organizations of similar size, with opportunities for salary growth over time. We believe in compensating staff members fairly in relation to each other, their qualifications, and their impact on behalf of the organization, and take internal and external equity seriously. Given our commitment to equity, Braven does not negotiate salary offers; instead each salary offer is determined carefully using external and internal benchmarking. You will have an opportunity to discuss salary in more detail after you begin the application process.

Braven also provides competitive, comprehensive benefits, recognition, and career development. While Braven reserves the right to change benefits at any time, current benefits include: 

  • Unlimited vacation time in addition to org-wide holidays and week-long shutdowns in July and the end of the calendar year (this is a minimum of 19 days per year)
  • Match of your 401K contribution up to 5% of your base annual salary, starting your first full month
  • Coverage of 85% of health insurance premium for employee and dependents
  • 12 weeks of paid parental leave
  • A one-month paid sabbatical after 4 years on staff

Location

We gather in the office at least 3 days per week (on Tuesday, Wednesday and Thursday) and often work remotely 2 days per week (although certain commitments might adjust that from time to time). Therefore, this role requires teammates to live within commuting distance of one of our hubs: Wilmington, DE, Washington, D.C., Atlanta, Chicago, Newark, or New York City. We believe in the magic, connection, and collaboration that happens when people work together face-to-face and we believe in giving people flexibility to focus, balance personal priorities, and save themselves two commutes per week.
