Position Summary:
The Contracted Services Administrator is responsible for processing and coordinating all subcontracted services; namely Sprinkler Repair work. Base responsibilities include processing awarded contracts, scheduling with subcontractors; including paperwork and invoices are received in a timely manner from our subcontractors. Primary focus is to ensure our Subcontracted Services are done on time and in accordance with Allegiant’s standard of Fire Protection excellence.
Annual salary $47,000 - $58,000
Duties/Responsibilities:
- Process new sprinkler repair contracts. Input all necessary data accurately into the system according to established procedures in each respective department.
- Prepare and submit quotes for Operations Manager as needed during periods of peak bid activity. Provide coverage and service as a backup with any of the tasks needed for Inspection Department Operations Manager.
- Assist Inspection Department Operations Manager with any process improvement needed to increase the accuracy and productivity of our Subcontractors.
- Create job and schedule awarded repair contracts with the correct Subcontractor.
- Demonstrate organizational excellence to ensure awarded contracts are processed, scheduled, and completed correctly and on time.
- Use system sub-contracting features in conjunction with Allegiant best practices to successfully schedule in a streamlined and uniform manner.
- Conduct job creation, scheduling, and customer processing with exemplary attention to detail and always with professional, effective communication.
- Manage the scheduling and coordinating of work with our sprinkler repair sub-contractors.
- Respond to and resolve customer or subcontractor inquiries as needed.
- Responsible for attaining and forwarding all documentation for all subcontracted sprinkler repair jobs to Operations Manager for review prior to being invoiced. Validate the subcontractor’s pricing, job margins, send reports to customers and follow standard workflow as required.
- Update customer or job data as needed such as billing address, account notes, access instructions, system details and scope of work.
- Research, track and resolve any sprinkler repair invoice, work order or job discrepancies that may arise.
- Manage scheduled jobs for sprinkler repair subcontractors to ensure our customers are seen on time and their fire protection needs are completed to compliance. Reschedule and escalate needs as required. Ensure that customers are contacted in a timely manner.
