Full Job Description
Position Summary:
The purpose of this position is to provide administrative support to both the Seminary Dean and the Dean of Faculty.
Essential Responsibilities:
Confidential and efficient management of details to facilitate the work of both (1) The Seminary Dean & Vice President of Church Relations, and (2) The Dean of Faculty in their roles at NPU/NPTS and within the broader Evangelical Covenant Church.
* General Support to both deans:
o Provide administrative support by managing phone calls, seminary mail, deans’ calendars and travel plans as needed.
o Maintain records/minutes related to deans’ offices.
o Track and File Adjunct faculty documentation (CV’s, transcripts, etc.)
o Host meetings and events on behalf of the seminary
o Draft and distribute reports as requested.
o Draft and distribute communications to internal and external constituencies.
o Coordinate ATS Annual Report
o Coordinate with Evangelical Covenant Church boards & committees.
o Reconcile Expenses for the deans.
o Coordinate sending new adjunct faculty HR paperwork.
o Assist with special projects as assigned.
* General Seminary Support:
o Take minutes at Faculty Business Meetings and Seminary Committee of the Board of Trustees meetings.
o Coordinate Institutional Assessment initiatives on an ongoing basis.
o Represent NPTS on various University committees as requested.
o Participate in proactive team efforts to achieve Seminary, departmental, and University goals.
o Assist in coordinating efforts for new initiatives (e.g., new partnerships, new policies)
* Administrative Support to the Covenant Orientation Program:
o Respond to student inquiries about the CO program.
o Research and secure meeting locations when classes are not in Chicago.
o Assist in registration of CO students when necessary.
o Prepare regular communication to CO students.
* Administrative Support to the Center for Spiritual Direction:
o Provide general support as requested by the director of the CSD
o Assist in registration of students for their classes
o Draft and send communications to cohort students
o Coordinate Housing for intensive courses
o Coordinate transportation for off-site retreats
Requirements
- At least a bachelor’s degree in related field or satisfactory combination of education and prior experience
- A clear understanding and personal commitment to North Park’s mission of Christian higher education
- Ability to handle confidential and sensitive information with discretion and good judgment
- Ability to initiate, organize, prioritize, modify, and complete necessary tasks in a timely manner
- Ability to responsibly handle large scale projects from start to finish
- Ability to read and interpret documents pertaining to policies and procedures
- An orientation to detail and precision
- Intermediate personal computer skills, including electronic mail, routine database activity, and Microsoft Office programs (i.e. an aptitude sufficient to maintain records and schedule tasks.) Ability to communicate effectively (both verbally and in writing) with students, faculty, staff, the wider University, the Evangelical Covenant Church and other outside constituents in a friendly and business-like manner.
- Ability to work within a growing, changing community of theological education
- Minimum four years of office experience required
