Position Type: Full-time, In-Office (potential for hybrid or remote, after settling into the role)

We are looking for a highly organized, detail-oriented, and proactive multitasker to join our team as the Preconstruction Coordinator. This key role supports and manages the company's estimating efforts, requiring excellent organizational skills and the ability to juggle multiple tasks effectively.

Key Responsibilities:

  • Project Documentation: Manage and organize all project-related documents, ensuring they are up-to-date and accessible to the team.
  • Bid Preparation: Assist with preparing accurate and timely bid packages, proposals, and presentations.
  • Scheduling & Coordination: Coordinate project schedules, track critical deadlines, and keep team members informed of upcoming milestones.
  • Subcontractor & Vendor Management: Communicate with subcontractors and vendors, gather pricing, and manage bid participation through Building Connected.
  • Estimating Support: Support estimators by gathering data, using On-Screen Takeoff and Quick Bid for estimating tasks, and maintaining databases.
  • Administrative Tasks: Perform filing, document control, and data entry related to the preconstruction process.
  • Client & Stakeholder Interaction: Serve as the point of contact for clients, architects, engineers, and coordinate necessary information.
  • Meeting & Bid Calendar Management: Schedule meetings, prepare agendas, maintain the bid calendar, and track submissions.
  • Cost Comparison & Analysis: Compile and compare subcontractor bids to assist in selection.

Requirements

  • Education: Bachelor’s degree in Construction Management or related field preferred. Equivalent experience considered.
  • Experience: 2+ years in construction or preconstruction roles; commercial general contracting is a plus.
  • Skills: Strong organization, multitasking, and communication skills; proficiency in Microsoft Office, Bluebeam, On-Screen Takeoff, and Quick Bid; familiarity with Building Connected.
  • Attributes: Detail-oriented, critical thinker, self-starter with a strong work ethic, able to handle workloads beyond 40 hours a week.

Preferred Qualifications:

  • Industry Knowledge: Familiar with construction standards, practices, and regulations.
  • Software Proficiency: Skilled in estimating and cloud-based software.
  • Certifications: LEED AP, PMP, or other relevant certifications.
  • Interpersonal Skills: Proven ability to work effectively in a team and coordinate with multiple stakeholders.
  • Problem-Solving: Strong critical thinking and problem-solving skills under pressure
