LOCATION: Atlanta office - Hybrid working model - Mirror CEO's in office days; Must be comfortable working outside of normal business hours

Role Overview

CMSPI is seeking a dynamic and seasoned professional Executive Personal Assistant to provide top-tier support to our Chief Executive Officer (CEO). The perfect candidate will be proactive, resourceful, and capable of managing a diverse array of administrative and executive responsibilities. This role demands superb communication skills, attention to detail, the ability to anticipate the needs of the CEO to ensure their efficiency and effectiveness in their role and to maintain the utmost discretion and confidentiality. The successful candidate will also be comfortable working autonomously, using their best judgment to navigate ambiguous situations and make decisions in the absence of clear guidance.

This individual will work closely with our CEO and their executive team. They will also build relationships with leaders and employees across the company’s 5 global offices.

The key focus areas include:

  • Manage the CEO's calendar, schedule meetings and appointments, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
  • Attend meetings, take minutes, and follow up on action items.
  • Screen and prioritize incoming communications for the CEO, including emails and phone calls, with delegate access to email inbox and calendar.
  • Serve as a liaison between the CEO and internal/external stakeholders, such as board members, clients, investors, and employees.
  • Manage and reconcile expenses, including tracking receipts, processing reimbursements, and maintaining accurate records to ensure compliance with company policies and procedures.
  • Handle confidential information with the utmost discretion and professionalism.
  • Implement effective time management strategies to streamline workflow and increase productivity for both the CEO and the executive team.
  • Support the executive team as needed on projects and administrative tasks.
  • Assist the CEO with personal tasks and errands as required.

Requirements

Our ideal candidate for the Executive Personal Assistant to CEO position will possess the following qualifications:

  • Must be currently in a Personal Assistant or Executive Assistant role supporting a CEO
  • Have 3-5 years of experience as a Personal Assistant or Executive Assistant role supporting a CEO
  • Bachelor's degree in Business Administration or a related field.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills, with acute attention to detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), travel booking software, expense software, and other relevant software.
  • Discretion and confidentiality in handling sensitive information.
  • Professional demeanor and strong interpersonal skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Positive attitude, proactive approach, and willingness to take initiative to support the CEO and contribute to the overall success of the organization.
  • Ability to exercise sound judgment and decision-making in a variety of situations.
  • Flexibility to adjust working hours and travel as needed.
