Full Job Description
The DME Manager is to oversee the operations of the DME resupply, care management, DME scheduling and PAP program. This person will have to have insurance, logistics, and Sleep DME knowledge to serve as a resource for DME team members and patient escalations. Fusion Sleep is committed to excellence in the field of sleep medicine and the role of the clinic is to ensure an exemplary patient experience and to foster a “right-the-first-time” culture.
Responsibilities:
Day to Day duties
- Delegate daily duties of DME team members to ensure all patient requests are completed
- Handle patient concerns and escalations
- Fill in where necessary within the department ensuring needs of the business are met
- Oversee supply replenishment, DME scheduling, PAP setup and sleep care management operations.
- Answer questions regarding DME from team members and other department
- Work closely with operational leaders to ensure smooth patient flow and operations
- Work closely with the Data team to collect and analyze data to ensure patient standards of care are met and to provide Business intelligence and insights to the executive leadership team
- DME Inventory Management-Complete quarterly inventory counts and reconciliation. Reassess and maintain par levels routinely. Order PAP supplies from vendors. Utilize inventory management system to audit dispensing and receipt of inventory. Assume total ownership and management of the inventory process.
- Track cost of goods,, revenue, and overall operating costs for the department
- Working closely with all DME vendors to ensure a smooth workflow, data is being retrieved, all issues are handled effectively.
- Pursue continuous improvement to achieve superior results by improving processes, eliminating barriers to success, and measuring progress.
- Update DME team members on new or upcoming events in the company.
- Investigate any obstacles from members of the DME team and propose solutions to ensure team members can effectively perform the functions of their job
Project Management
- Coordinate implementation of new projects pertaining to the department or elsewhere when applicable
- Provide updates on projects and financial figures pertaining to DME program as requested
- Serve as point of contact for DME/logistics vendors and coordinate operations and price negotiations
People Management
- Interview potential candidates for DME staff
- Coordinate onboarding and training of new DME employees
- Monitor, adjust and approve timecards for Supply Specialists, Sleep Care Managers,, PAP Schedulers and PAP Setup Technicians on the DME team
- Complete yearly reviews for all DME staff/team members
- Create a positive and supportive work environment where employees feel valued, appreciated, and motivated to work together effectively
- Develop, track progress, and monitor department and employee goals
- Observe DME team members’ work performance, providing consistent, constructive feedback to help them improve and meet their goals, ensuring a high functioning team.
- Identify opportunities for training on the team and assign training modules and coaching as needed to develop the team
- Review time off/vacation requests of the DME team for approval/denial based upon the needs of the DME business.
- Establish exceptional rapport with DME team members and patients
Requirements
- Minimum 2 years of DME experience
- Associate or Bachelor’s Degree Business, Public Health or Allied Health.
- Minimum 3 years experience in customer support or health care coordination
- Minimum 3 years experience with an insurance background
- Knowledge of sleep disorders is preferred
- Strong interpersonal and communication skills
- Experience of working with PM and EHR/EMR systems
- Experience working within a clinical healthcare environment
- Experience working with physicians
- Experience with insurance benefits
- Moderate reading, writing, grammar, and mathematical skills
- Proficient interpersonal and excellent communication
- Proven track record in developing effective customer relationships
- Flexible to adapt in a fast-paced and rapidly changing environment
- Proactive, self motivated, self starter
- Highly organized, able to prioritize workloads to meet patient and customer needs
- Knowledge of HIPAA and other relevant privacy-related medical practice regulations
- Auditory and visual skills; ability to bend, stoop, sit, stand, reach, and lift items weighing 50 pounds or less
