Chief of Staff (US)

Atlanta, georgia

Job Details

Full-time

Full Job Description

We’re Scan.com, the digital health scale-up that gives patients and physicians simpler, faster access to medical imaging.

At the heart of Scan.com lies a different way of doing things: empowering patients to make financially smart decisions, enabling live scheduling for patients and providers, and easing clinician workloads through AI. It’s our mission to make medical scans accessible to all.

You’ll be joining us at an exciting time - we’ve recently launched our physician marketplace product in the USA to great success, have raised over $60m in VC funding, are profitable and are on track to grow over 300% in 2024.

WHAT YOU WILL BE GETTING INVOLVED IN

The Chief of Staff (’CoS’) provides the CEO with operating leverage as the business scales from $50m→$200m revenue over the next 18-36 months.

A typical day may start with a 15-minute ‘sync’ call with Charlie (CEO) in which the CoS has prepared an agenda to run through their projects for the day and where they have gaps in information/direction.

RECENT EXAMPLES OF THE TYPES OF PROJECTS YOU COULD BE GETTING INVOLVED IN ARE:

  1. Driving the quarterly OKR process, ensuring the team is constantly aligned towards the company objectives and remaining accountable for their progress. You won’t be afraid of being labelled a bit of a ‘nagger’ for slacking people to hold them accountable for updating their OKRs or organizing kick-off/retro meetings.
  2. Building out job specs for new roles that the CEO is hiring for; working cross-functionally with the CFO & VP of People to ensure the role is specified correctly.
  3. Lead the build-out of the ‘sales enablement’ training video library so that our fast-growing sales force is appropriately onboarded into the organization and can ramp as quickly as possible.
  4. Exec Recruitment: lead the ‘hunt’ for a new “VP, Sales”, working very closely with Clare - our VP of People and her team. This includes sourcing, outreach and holding early screening conversations.
  5. Strategy Documentation: develop strategy & execution white papers for the SLT & board, leaning on strategy
  6. Help CEO plan the ‘annual retreat; take responsibility for the production of the presentation decks and working closely with Hana (CEO/COO’s EA)
  7. Sit on Senior Leadership Team & Board calls, documenting actions and preparing action trackers against these. Aggregate the CEO’s actions and directly take on the responsibility for the organization and execution of these actions.
  8. Take the occasional internal meetings on the CEO’s behalf, such as 1:1s and team meetings.
  9. Lots of other ad-hoc projects, most of which will be focused on helping the CEO achieve more leverage on his time.

WHAT YOU MIGHT BRING TO THE TABLE:

You don't need to tick all the boxes to apply for this role. However, these might be some of the ways you are currently adding value:

  • Ability to ‘project manage’ on behalf of the CEO to ensure that OKRs are being met. You are proactive with task management and have a sense of urgency to progress projects. You’re the kind of person who cannot ‘finish’ at the end of each day until your project trackers are finished and updated.
  • You will have the confidence and proactivity to seek answers from other members of the team without waiting until your next 1:1
  • Don’t take the status quo: think the bi-weekly town hall deck isn’t structured correctly to convey the right information across the organization? Think that a certain team isn’t optimally functioning? Well, then, take ownership and be a changemaker.
  • Productivity obsessed: you like playing with the latest productivity tools to enhance both personal productivity and our teams.
  • Detailed-orientated communicator: you can write well-structured internal memos or create beautiful decks for internal and external stakeholders.
  • You have got at least a few years of experience driving target-setting processes in other organizations.
  • The hunger to learn:
    • You’ll consume the industry inside-out. You’ll be a veracious reader.
    • Best practices in project areas you’re working on. For example, if you’re working on building out the OKR process, you’ll read up on best practices from other companies.
  • Trust: you’ll have access to the CEO’s inbox and be expecting to help work through action items
  • High EQ: Within a high-growth organization, people can sometimes feel stretched to their limits. People can feel unsettled as the company has to constantly reorganise as the team grows. You’ll have the emotional intelligence to help work through inevitable issues.
  • Ideally, you will have spent a few years at a top management consulting firm.
  • Ideally, you will have spent a few years in the tech world and be familiar with current ways of working, tooling and expectations around the pace of the work.

HOW WE WILL INTERVIEW YOU:

We try to keep our interview process short, and as a small business, we can move through the stages quickly. Due to availability, there may be a change to the order of the interview process, but generally speaking, this is what you can expect:

  1. Introductory call with Rhea, our People and Talent Partner. The call is usually via telephone (video if based in the US) and will last around 30 minutes.
  2. Should it feel like there is an initial fit for all, we will invite you to a video call with the hiring manager for around 45 minutes. This is a more structured interview and will deep dive into the role and technical needs.
  3. All of our roles will have a small assessment stage. This might be in person, a take-home assessment or further video calls. Length varies; however, we are mindful that you will have your own work to do and, therefore, try to keep it as simple as possible.
  4. Meet the founders and/or other team members. Again, length varies depending on how many people and whether in person or via video call.
  5. Offer!

BENEFITS:

We divide this into the basics you should expect and the added benefits.

The basics:

  • Salary range of $140,000-$160,000
  • 401k
  • Health, Vision and Dental
  • All the equipment needed for you to do your role effectively
