This position is with a client of Linda Barineau H.R. Solutions, LLC

Are you highly organized and experienced in project management?  Do you excel with technology and have a knack for design? Do you enjoy making a difference in the lives of others?  If so, read on because this may be the job you have been looking for!

This versatile position encompasses duties similar to those of a project manager, an executive assistant, and a Canva/PPT designer.

Industry: Corporate Training

Compensation:  $50,000   A review in 6 months with potential of $53k in first year and $60k in 2nd year.  Annual increases relative to performance.

Schedule: 40 hours a week, M-F between 9:00-5:00pm is the core schedule.  Friday hours can be 9:00-4:00 p.m.; however, client training schedules may alter the schedule when necessary. Tuesday – Thursday will be in-office.  Optional remote work on Monday and Friday.

Location:  Tallahassee, FL

The individual will have a private office, laptop, and company phone. Some travel is required.

Requirements

Summary of Qualifications:

·    ·       Experience: Minimum of 2 years in administrative support.

·       Organization: Proven ability to manage multiple projects simultaneously, ensuring timely completion.

·       Collaboration: Willingness to work within a small team, embrace a flexible/hybrid schedule, and engage with new clients.

·       Reliability: Good attendance and punctuality, with a clean driving record and reliable transportation. Persistent follow-through experience and skill.

·       Security: Successful completion of a criminal background and credit check.

·       Detail-Oriented: Strong organizational skills and attention to detail, with initiative and problem-solving abilities. Shows alignment with the organizational goals.

·       Tech-Savvy: Proficient in Microsoft Office Suite (especially PowerPoint) and experienced with Canva for design purposes.

·       Travel: Ability to travel approximately 2 days per month.

·       Professionalism: Executive presence, professional attire, and cleanliness. Superb grammar and writing skills that can produce professional emails and attractive documents for meetings and workshops.

·       Customer Service: Excellent client-centric communication skills for both phone and in-person interactions.

·       Relationship Building: Ability to maintain positive client relationships through clear and empathetic communication, fostering trust and satisfaction.

·       Documentation: Accurate record-keeping in the shared Datto Drive, ensuring comprehensive and orderly client records and follow-up actions.

·       Project Management: Proficient with tools like Monday.com, Asana, and Trello.

·       Tech Maintenance: Above average skills in setting up, maintaining, and troubleshooting office technology, including computers, printers, and phones.

·       Event Planning: Experience with planning and logistics for off-site training and workshop events.

·       Virtual Meetings: Competent in managing virtual meetings, webinars, and remote training sessions using platforms like Zoom and Microsoft Teams.

·       Public Speaking: Comfortable speaking to the public and able to quickly connect with others. Able to manage a variety of personalities and occasionally manage a workshop in conjunction with the Sr. Trainer.

·       Physical Ability: Capable of lifting and moving 30 lb. cases of training materials up and down up to two flights of stairs and standing for extended periods.

·       Home Office: Has a dedicated, distraction-free home office with high-speed internet.

Responsibilities include:

1.  Executive Support: Assist the CEO with client communication, technology software, business, and training matters. 

2.     Database Management: Accurately maintain current and prospective client databases on ActiveCampaign.

3.     Training Preparation: Work with Sr. Trainer/CEO to prepare and organize all training materials, workshop supplies, decorations, and gift bags.

4.     Social Media: Manage the social media presence of the organization and keep it current.

5.     Client Support: Provide support for various leadership training and assessment platforms, primarily the Harrison Assessments.

6.     Event Logistics: Manage scheduling, logistics, and follow-up for workshops, training sessions, and client meetings.

7.     Workshop Attendance: Attend workshops and trainings with Sr. Trainer/CEO. This may include pertinent and legible notetaking during training or coaching sessions.

8.     Virtual Training Coordination: Assist Sr. Trainer in organizing and managing virtual training workshops.

9.     Financial Coordination: Collaborate with accounting/bookkeeping personnel when necessary.

10.  Additional Duties: Perform other duties as needed.
