Full Job Description
Williams Parker, the region's largest and oldest law firm, is currently seeking dedicated and detail-oriented Legal Assistants to join our client-centric team. In this role, you will provide essential administrative and operational support to an assigned practice group. ESSENTIAL DUTIES AND RESPONSIBILITIES
Communication services
- Provide quality client service to both internal and external clients by reviewing and responding to phone and email messages in a timely manner. Be aware of hard and soft deadlines. Promote consistent and efficient workflow processes.
- Coordinate meeting logistics by identifying and scheduling attendees and tracking RSVPs utilizing software (MS Outlook and MS Teams).
- Develop and serve as a knowledge resource in specific practice group requirements and Firm policies and procedures. Collaboratively share this knowledge and work with others to improve processes and procedures.
Document services
- Draft, revise, proofread, or transcribe documents, presentations, or correspondence utilizing excellent grammar, spelling, and punctuation skills and ensuring formatting remains consistent with the Firm’s brand standards.
New engagements
- Ensure conflict checks and new matter intake are submitted fully, accurately, and timely prior to new engagements as instructed by the attorneys.
- Draft engagement letters for attorney review and send to client upon approval.
Billing and accounting
- Coordinate client billing in an accurate and timely manner, using sophisticated software (SurePoint) and procedures that may require client specific instructions for remitting payment. Follow up on aging accounts receivable, as needed.
- Manage travel and assist in submitting expense reports timely, as needed.
Requirements
Education and/or experience include, but are not limited to:
- An undergraduate degree and/or any combination of experience, education, or training that demonstrates the ability to perform the duties of the position.
- A minimum of three (3) to five (5) years of administrative experience working in an administrative support role in a legal or professional services environment.
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Ability to navigate MS Office software at an advanced level of proficiency. Willingness to learn and evolve and expand capabilities over time with other software to include document imaging/scanning/PDFs, time and billing software, and more.
- Ability to work independently with minimal supervision
- Detail-oriented and able to handle confidential and sensitive information
- Strong problem-solving skills
- Ability to prioritize and multi-task
- Professional and proactive attitude
