Position Summary:

Mission of Role/Position Summary:
The Medical Staffing Coordinator will provide response for urgent need to rapidly deploy technical and medical support staff to shelters or other destination facilities to manage onboarding, scheduling, timekeeping, and invoicing.
Tasks, Duties, and Responsibilities:

- Review and process medical staffing quotes in accordance with policies and procedures.
- Support all mission requirements, scheduling, timekeeping, and deployments of medical and support staffing.
- Utilize the Mission Fulfillment Checklist and track daily progress and timekeeping utilizing the appropriate Timekeeping System, WebEOC, and all other EOC reporting tolls for each mission assigned and maintain as official record.
- Coordinate outreach for all relevant vendors, agencies and ESF staff in a standard manner, efficient and effective manner.
- Perform sufficient QA/QC of all documentation submitted to FDEM (e.g., timekeeping, invoicing, contracts, etc.).
- Develop and maintain daily status reports with KPIs.
- Consult on medical surge health systems, health care financing, and health care policy.
- Planning in medical systems.
- Liaison for state and hospitals.
- Update and maintain files.
- Answer queries and ensure quality customer service.
- Ensure compliance with procedures.
- Managing filing system.
- Recording information as needed.
- Assist clients and visitors as needed.
- Update paperwork, maintain documents, and word processing.
- Coordinate meetings as needed.
- Create, maintain, and enter information into databases.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities:
- Health care system or operations knowledge.
- Capable of critical decision-making in a highly charged and dynamic environment.
- Excellent computer literacy.
- Proficiency with Microsoft Office.
- Excellent interpersonal skills.
- Ability to multitask.
- Prior experience in an administrative role would be advantageous.

Expected Hours of Work:
Schedule may vary. Work on evenings and weekends may be required. Dependability and punctuality are paramount.
Travel Requirements:
- Up to 50% travel is expected for this position.
- Must be willing to travel and deploy to client sites for extended periods of time.
Physical Demands:
- Mobility required on-site with clients.
- Sitting or standing for hours at a time.
- Ability to work at a computer for extended periods of time if needed.
- Ability to lift up to 25 lbs. repetitively throughout the day and as needed.
Working Environment:
- Work may be on-site with clients ex: EOC, hospital, debris sites or local government buildings.
Requirements
Experience/Education Required:
- A bachelor's degree in emergency management is required. Years of experience may substitute for the education requirement on a year for year basis, in addition to the minimum requirements.
- 1-2+ years’ experience healthcare operations/medical staffing.
- Experience working in an Emergency Operations Center.
- Experience and knowledge of working within the Incident Command Framework at state or federal levels.
- Proficient in Microsoft Office 365, particularly Excel.
Experience/Education Preferred:
- 3-5+ years professional experience in emergency management.
- Experience in the public health care system.
- Completed NQS Type III Liaison Officer PTB or equivalent experience documentation.
- Proficient with Salesforce.
- Proficient with Web EOC
- ICS 100-800 and position-specific certification preferred.
Additional Qualifications:
- Must be 18 years of age or older.
- Eligibility to work in the United States without employer sponsored visa is required. We are not able to employ those located outside of the US.
- Must pass company and any applicable client background check and reference check upon offer of employment.
