General Summary

As Accounts Receivable Specialist, you are passionate about customer service. This position has a direct impact on our customer relationships as well as supports the accounting, sales and customer service teams. We are looking for someone who is positive, goal oriented, outcome focused and results driven.

You will sit directly with the Accounting team, work in close collaboration with Accounting, Sales and Customer Service teams, and report to the Manager of Accounts Receivable. 

Core Functions: 

  • Bill sales orders according to deadlines and billing schedules.
  • Research the validity of supporting documentation of sales orders, including purchase orders and sales tax exemption documents.
  • Process daily receipts ensuring prompt and accurate posting of payments to customer accounts; credit cards, checks, lockbox, ACH, and wire payments.
  • Ensure accurate customer account balances and reconcile account discrepancies.
  • Send dealer statement emails semi-monthly.
  • Work with the sales team to credit and rebill invoices in specific circumstances.
  • Assist in tracking, researching, reconciling and communicating customer chargebacks.
  • Communicate with customers via phone and email regarding past due balances and payment questions.
  • Partner with sales and customer service teams regarding customer billing issues.
  • Complete special projects as assigned by management.
  • Perform other duties as assigned.

Requirements

Required Qualifications: 

  • 3+ years of experience in an accounts receivable, billing, or related role.
  • Proficiency in accounting software and ERP systems as well as Microsoft Excel. Prior experience using NetSuite is strongly preferred.
  • Experience processing various payment methods, including credit cards, checks, ACH, and wire transfers.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with customers and internal teams.
  • Problem-solving skills to investigate account discrepancies, chargebacks, and billing issues.
  • Strong problem-solving and analytical skills, with the ability to troubleshoot issues and identify process improvements or automation opportunities.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Quick learner with a proactive mindset, eager to adopt new technologies and take initiative.
  • Strong communication and interpersonal skills, with the ability to collaborate in a team-oriented environment and provide empathetic customer service.

Compensation:

Peaksware/MakeMusic is committed to fair and equitable compensation practices. The hourly compensation range for this role in Colorado is $18.89-$31.49. Final compensation for this role will be determined by various factors such as a candidate’s relevant work experience, skills, and certifications.

This role is eligible for variable compensation, including bonus.

Work Environment:

This job operates in a professional office environment that is well-lighted, heated, and/or air-conditioned with adequate ventilation and a noise level that is usually moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.

Travel:

Willingness and ability to travel up to 15% of the time. Anticipated travel to include internal company events, meetings and training as well as customer events, trade shows and customer visits.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit and move about the facility; use hands to handle, or feel; talk by expressing ideas by means of the spoken word; and hear by perceiving the nature of sounds. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
