Full Job Description

Definition and Purpose 

Under the supervision of the Assistant Director – Recreational Sports, the Wellness Student Assistant is responsible for assisting with the management of the Wellness Program at the Cal Poly Recreation Center. This position works closely with the recreational sports leadership team and collaborates with other ASI and campus programs. This position requires effective communication with ASI full-time and student staff, as well as participants regarding programs and services.

Requirements

Educational Requirements and Qualifying Experience 

  • Must be a currently enrolled student at Cal Poly with a minimum of 6 units. Graduate students must carry 4 units. 
  • Ability to be highly organized and have good planning skills 
  • Excellent oral and written communication skills 
  • Previous general office or administrative support experience preferred 
  • Reliable, self-motivated and works well with minimum supervision 
  • Ability to perform multiple tasks simultaneously 
  • Awareness of safety concerns and risk management 
  • Experience working with high volume, fast-paced environment 
  • Previous customer service experience preferred 
  • Knowledge of Windows based computer systems required (Microsoft Office)  
  • Awareness of and appreciation for individual uniqueness and diversity 
  • Ability to make routine decisions based on specific criteria/guidelines 
  • Ability to be flexible and adapt to change 
  • Ability to have a high level of attention to detail 
  • Ability to work cooperatively with others or independently, as the situation requires 
  • Ability to work with diverse populations and those with special limitations or needs 

Essential Duties and Responsibilities 

  • Handle confidential information according to ASI policies and procedures 
  • Provide quality customer service to all staff members and customers 
  • Keep accurate records and ensure accurate data entry 
  • Adhere to ASI departmental policies and procedures 
  • Provide general office assistance (word processing, filing, mailing, copying) 
  • Ensure that financial paperwork submitted includes the information necessary for processing 
  • Possess applicable computer program knowledge of Word and Excel 
  • Research and provide recommendations for purchases 
  • Maintain knowledge of all current activities and upcoming events within ASI 
  • Maintain prompt hours and follow attendance procedures 
  • Attend all mandatory meetings and trainings 
  • Keep work areas neat and organized 
  • Assist with special projects 
  • Maintain familiarity with evacuation plan for work area 
  • Other duties as assigned 

Job Duties and Responsibilities 

  • Assist in the creation and implementation of wellness programs and events that promote physical activity, nutrition, and overall holistic wellness within ASI programs. 
  • Develop wellness education and resource materials (tips, videos, social media). 
  • Represent the ASI Wellness Program on various campus committees, campus health fairs, and campus events. 
  • Create and support effective collaborative relationships with various campus entities involved with campus health and wellness. 
  • Build and maintain partnerships with student organizations and campus groups to promote wellness initiatives. 
  • Submit facility reservation requests for wellness events 
  • Work with the ASI Student Marketing Assistant to develop and implement a quarterly marketing plan related to ASI Wellness programming 
  • Submit marketing requests via WorkZone, communicate with designers and ensure projects are completed 
  • Assist Assistant Director with building events and programs in the Fusion database system and ASI Access 
  • Assist in organizing and facilitating ASI wellness workshops. 
  • Develop assessment plan and learning outcomes for various wellness events  
  • Work and supervise events as necessary in conjunction with administrative duties  
  • Maintain and compile program specific usage statistics to include in monthly reports  
  • Attend various staff area meetings quarterly to educate staff and promote the Wellness Program  
  • Serve on ASI committees as assigned  
  • Create and implement position specific projects and events  
  • Inventory/determine equipment purchasing needs for wellness programs  
  • Prepare presentations as necessary  
  • Promote growth and expansion of program through public relations and outreach 
  • Maintain Personal Training staff email lists and contact information 
  • Maintain and distribute meeting notes from key meetings 
  • Perform data entry and maintain staff rosters including all certifications and other credentials 
  • Collect and submit required forms from staff periodically 
  • Assist with additional projects as needed 

Other Duties and Responsibilities 

  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment. 
  • Other duties as assigned.

Period of Employment 

Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause. 

Benefits

Compensation and Hours 

  • Starting Pay Rate: $18.00 per hour
  • Pay Range: $18.00 per hour - $18.00 per hour 

May require late nights, weekends, and holidays

Requires a minimum of 3 consecutive quarters
