Full Job Description

Definition and Purpose 

Under the supervision of the Coordinator II – Event Management, the student manager for Event Operations is responsible for managing the Event Supervisors and Student Assistants. This position supervises a staff of 15 to 20 and works closely with the University Union leadership team. This position requires effective communication with staff and participants regarding programs, services, policies, and emergency response. In order to maximize the student manager’s personal development and ensure that their experience with ASI is broad based, incumbents will be assigned additional responsibilities beyond their specific program or staff area.

Requirements

Educational Requirements and Qualifying Experience 

  • Must be a currently enrolled student at Cal Poly with a minimum of 6 units. Graduate students must carry 4 units. 
  • Exhibit a developed sense of critical thinking, conflict management and problem-solving skills. 
  • Ability to efficiently manage multiple tasks simultaneously. 
  • Ability to stay focused while working in a high-volume, fast-pace environment. 
  • Ability to be flexible and adapt to change. 
  • Ability to work cooperatively with others or independently, as the situation requires. 
  • Ability to empathize and connect with others in an appropriate manner. 
  • Ability to handle confidential information according to ASI policies and procedures. 
  • Excellent oral and written communication skills. 
  • Confidence to take risks and explore new ideas. 
  • Display a high level of attention to detail. 
  • Experience in developing and conducting assessments, reporting, and analyzing results. 
  • Confidence to supervise peers. 
  • Knowledge of Windows based computer systems (Microsoft Office). 
  • Awareness of safety and risk-management procedures. 
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere. 
  • Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations. 

Supervisory Responsibilities 

  • Supervise, schedule, and manage daily operations for staff of 15 to 20 student employees. 
  • Train employees in essential duties, customer service and risk management. 
  • Initiate and/or manage staff coaching, discipline and feedback for staff area. 
  • Participate in leadership development training with immediate supervisor and student manager leadership team. 
  • Complete weekly administrative duties, including but not limited to service requests, developing agendas, and conducting regular staff meetings. 

Essential Duties and Responsibilities 

  • Abide by and enforce all ASI and campus security regulations regarding confidential and private information. 
  • Effectively manage applicable internal and external communication outlets. 
  • Ensure all area manuals, procedures and resources are accurate and easily available to staff. 
  • Display awareness of all ASI and staff area policies; enforce policies as necessary. 
  • Maintain the integrity of the ASI philosophy and brand. 
  • Produce regular reports, reviews, and assessments of staff area. 
  • Exhibit punctuality and dependability by maintaining a consistent work schedule. 
  • Serve as an information source of Recreational Sports and ASI programs and services. 
  • Maintain professionalism in the workplace including but not limited to attire, behavior, and language. 
  • Maintain familiarity with emergency response protocol. 
  • Attend all meetings, workshops, and retreats. 
  • Provide quality customer service to all staff and customers. 
  • Maintain a positive work environment through interaction with staff, peers, and superiors. 
  • Demonstrate understanding of effective and efficient resource management. 
  • Demonstrate understanding and competency of specific technological resources used by staff area. 

Specific Requirements 

  • Oversee the set-up, takedown, and concurrent management of concerts, club events, and special events. 
  • Coordinates the logistical planning of events for ASI Events. 
  • Adhere to and enforce all ASI departmental policies and procedures. 
  • Assist the Event Scheduling and Management Student Assistant with planning and one-on-one meetings with event organizers as directed. 
  • Provide for general risk management, including observing facility usage, and ensuring appropriate safety standards are met. 
  • Track event hours, and coordinate with the Assistant Coordinator - Facility Scheduling to invoice and reconcile event costs. 
  • Serve as an information source in all aspects of the ASI Programs, and specifically the Event Operations Program. 
  • Act as a liaison for ASI between the different departments on campus. 
  • Attend all leadership team meetings, workshops, and retreats for the overall planning of the ASI Programs. 
  • Weekly administrative duties, including but not limited to scheduling, conducting weekly staff meetings, provide weekly updates to appropriate staff, and coaching with immediate supervisor. 
  • Track and maintain area specific information for use in developing quarterly reports and for developing the Event Operations team. 
  • Have a trained eye for safety issues or concerns and reports to the Facility Supervisor immediately. 
  • Provide a safe, welcoming, inclusive environment for all participants, staff, and spectators. 
  • Work at least one shift per week providing direct program/staff area supervision. 
  • Night and weekend supervision necessary. 
  • Long-term projects as assigned.

  • Work with director to review department’s policies, procedures, & practices related to DEI and participate in addressing barriers identified. 

Other Duties and Responsibilities 

  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment. 
  • Other duties as assigned. 

Period of Employment 

If hired, student managers must commit to a minimum of 9 weeks of employment over summer quarter. 

Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.

Benefits

Compensation and Hours 

  • Hourly Starting Rate: $18.50 per hour
  • Hourly Pay Range: $18.50 per hour - $18.50 per hour  

Requires a minimum of three consecutive quarters of availability

Requires summer 2025 availability

May require late nights, weekends, and holiday availability.
