Requirements
Responsibilities
l Front desk coverage: Answering phones, greeting visitors, and managing mail and shipments
l Correspondence: Responding to emails, memos, and other correspondence, and drafting and editing documents
l Organization: Maintaining filing systems, databases, and spreadsheets, and keeping inventory
l Support: Providing administrative support to senior leaders and assisting other staff members with scheduling and travelling.
l Logistics: Preparing meeting agendas, and coordinating logistics for meetings
l Supplies: Ordering office supplies, and managing supplies, ordering laptop for new hires and other purchase request made by other departments, takes care of the procurement process for the purchase request within the company.
l Vendor management: Working with maintenance staff and outside vendors.
l Online banking management: Manage company online banking account, updating any subscriptions, book keeping invoice and billings.
Qualifications
High school diploma or equivalent
Proven administrative experience
Superb written and verbal communication skills
Strong time-management skills and multitasking ability
Aptitude for learning new software and systems
Familiar with Microsoft office and outlook
Preferred Skills:
- College degree or equivalent
- Previous success in office management
- Experience managing budgets and expenses
- Experience developing internal processes and filing systems
- Comfortable handling confidential information
