THE CHALLENGE
We are seeking a proactive and detail-oriented Coordinator to join our team and become deeply ingrained in the operations of our Interactive department. This role supports the Head of Interactive and Interactive Managers with daily tasks, project start-up needs, crew intake, scheduling, and overall organizational support. As a key player in the department, you will stay knowledgeable about all ongoing projects and their statuses, providing essential administrative and coordination support to ensure everything runs smoothly.
RESPONSIBILITIES
- Integrated Support: Stay informed on all ongoing projects in the Interactive department, track their statuses, and provide cross-team support for project-related needs.
- Stakeholder Coordination: Serve as the first point of contact, directing communication to appropriate stakeholders and ensuring team alignment.
- Calendar Management: Schedule executive calls, maintain department-wide calendars, and oversee platform access and project folder organization.
- Cost Tracking: Maintain and regularly update project cost trackers
- Invoices and Receipts: Log invoices and Receipts acting as a liaison between the production team and accounting.
- Contractor Management: Oversee onboarding, including intake of contracts, tax forms, NDAs, and software access setup. Maintain and update contractor rates and information.
- Software Management: Conduct monthly reviews of software usage, deactivate inactive users, and coordinate updates with managers.
- Compliance and Procedures: Assist the Assistant Head of Interactive in ensuring team processes and procedures are adhered to.
- Event Coordination: Provide logistical support for internal and external events as needed.
- Administrative Support: Manage Slack requests related to project file set up, accounting, contractors, invoice queries, and scheduling.
- General Organizational Tasks: Support drive cleaning and folder organization, ensuring the department maintains an efficient workflow.
Requirements
- LA-based for occasional on-site support.
- Past experience within Production or Gaming/Interactive projects.
- Proven ability to manage and organize projects, files, and workflows efficiently.
- Strong organizational skills and ability to prioritize tasks across multiple projects.
- Experience working in a coordination role within entertainment, production, or gaming industries.
- Familiarity with project management tools with the ability to quickly learn and adapt to new tools as needed.
- Excellent communication skills, with the ability to collaborate effectively across teams.
- Self-motivated with a proactive approach to problem-solving and daily task management.
- A strong sense of accountability and a commitment to staying ingrained in the department's projects and priorities.
NICE TO HAVE
- Interest and enthusiasm for UGC platform experiences, including gaming platforms like Roblox, Fortnite, and others
- Experience or interest in Augmented Reality production and activations
- Familiarity with or curiosity about Generative AI technologies and their applications in creative and interactive experiences
- A passion for working with brands to create innovative, on-brand interactive experiences
- Previous experience collaborating with or supporting brand-focused projects in entertainment, gaming, or marketing.
- A passion for innovation in the interactive space, always seeking out new tools, platforms, or methods to improve processes or enhance creativity.

This position is generally M-F 9:30 AM - 7:00 PM (PST) with a one (1) hour lunch break, and will begin with an initial 90-day probationary period, transitioning to full-time employment pending a successful review and mutual alignment.
