Full Job Description
We are currently seeking a HVAC Special Projects Coordinator to assist in managing special projects in Northern, Central and Southern California. The Special Projects Coordinator supports project teams and works with the Project Manager to complete assigned special projects successfully. He/She also assists in cultivating opportunities for future service and special projects assignments by providing excellent customer service, maintaining standards of performance and building financially successful projects
Requirements
Responsibilities:
- Assist Project Manager in managing all business aspects of concurrent mechanical projects (HVAC installs, retrofits, and replacements) in Northern, Central and Southern California
- Work directly with Project Manager, Technicians and Dispatchers to ensure financial targets and timelines are met on each project, while maintaining established quality standards
- Support Project Manager in coordinating all activities associated with materials, equipment deliveries, budgeting, and production for assigned projects
- Organize information for project meetings to keep teams focused and projects on schedule
- Update and maintain project filing system, all sets of drawings, specifications, and logs
- In coordination with the Project Manager, review, evaluate, and transmit submittals
- Prepare complete, accurate and timely submittal logs
- Prepare and maintain RFI logs, submittal logs and expediting logs
- Accurately process, distribute, and manage RFIs
- Cost code and/or verify correct codes on time sheets
- Ensure Contract Document Logs are maintained and updated as needed
- Prepare and document extra work orders
- Help to create and disseminate change order documentation
- Compile contract close out documents
- Prepare project status reports by collecting, analyzing, and summarizing information and trends and recommend actions as needed
- Act as liaison with the customer and project staff to properly identify and process scope changes, address issues, communicate regarding project milestones, etc.
- Foster and develop vendor partnering relationships to capitalize on all opportunities for references, strategic partnering, and decreased business costs
- Enter time for field employees and track labor hours on a per project basis
- Take ownership over responsibilities and drive targeted growth
- Perform other tasks as required by management
Qualifications:
- Bachelor’s degree in relevant field or 2+ years of related (field or office) work experience
- Work experience with a commercial/industrial mechanical contractor preferred
- Highly organized, detailed-oriented, and efficient
- Exhibits sound judgment with ability to prioritize tasks, assignments and the needs of customers
- Strong verbal and written communication skills
- Able to establish and maintain good working relationships with customers and teammates
- Computer proficiency, particularly with the Microsoft Office Suite

Salary Range: $25 - $30 per hour DOE
