Candle Studios is adding a Finance & Operations Coordinator to their team!We're looking for folks who are super organized, detail-oriented, and excited to keep our legal, corporate, compliance and finance operations running smoothly. You’ll help manage a diverse group of entities across the Candle Studios family (think lots of cool media brands including Hello Sunshine & Moonbug!)—focusing on US entity formation and management, while also getting involved in key finance initiatives including compliance. This is a fantastic role if you enjoy working behind the scenes to make big things happen in a dynamic, fast-paced environment.
What You’ll Do:
- Support cross-functional finance projects from start to finish, ensuring timely execution, clear communication, and alignment with business goals.
- Management of team calendar for filing/submission deadlines related to compliance and tax so we never miss a beat. You’ll also assist with filing, preparation, and distribution as necessary.
- Coordinate and direct documents to appropriate parties, obtain approvals as necessary
- Facilitate team meetings, track deliverables, and streamline processes to enhance efficiency.
- Help set up, maintain, and occasionally wrap up various legal entities (corporations, LLCs, etc.).
- Collaborate with corporate service providers to ensure compliance with US federal and state registrations, as well as non-US entities.
- Support any internal governance policies and external compliance to keep everything running smoothly.
- Maintain and provide support for corporate insurance policies, including renewals, timely submissions, and coordination with both internal stakeholders and external brokers.
- Provide limited support when it comes to finance and accounting vendors, including auditors, tax consultants, and service providers – you’ll manage contracts, monitor performance, and negotiate favorable terms.
- Ad hoc projects and office support
- Provide light administrative support to senior level executives including scheduling meetings, managing correspondence, organizing databases, and basic data entry.
Requirements
What We’re Looking For:
- Bachelor’s degree and 3+ years’ administrative experience; previous support of Finance team preferred
- Working knowledge of corporate finance with entertainment industry a plus; ability to recognize and extract critical data and information from materials and documents desired
- Strong proficiency with MS Office
- Ability to prioritize and manage a high volume of competing tasks independently, in a fast-paced, dynamic environment
- You’re comfortable with entity formation, corporate governance, and compliance, and have experience managing projects within complex organizational structures.
- Proven ability to handle confidential and sensitive information.
- You’re a clear communicator—both in writing and in person—and can confidently work independently.
- You love staying organized and getting things done.
- You can juggle multiple projects and deadlines without breaking a sweat.
Benefits
This position offers an estimated base salary range of $65,000 - $75,000.
