Position Summary

In this part-time role, you will serve as the right-hand person to the CEO, ensuring their schedule runs smoothly and that they stay engaged with team members, collaborators, and external contacts. Beyond the usual administrative tasks, you’ll play a critical role in creating and maintaining structure—both for business and personal commitments. You’ll coordinate on-site support, schedule networking or social events, and provide accountability check-ins. Key Responsibilities

1. Calendar & Time Management

- Maintain and optimize the CEO’s calendar, including business meetings, personal appointments, and social events.

- Organize recurring daily/weekly check-ins (both virtual and in-person) to keep the CEO on track with tasks and goals.

- Proactively block and protect “focus times,” and ensure consistent time for networking and relationship-building.

2. Administrative & Operational Support

- Assist with drafting emails, proposals, and documentation, ensuring prompt follow-ups and communication.

- Coordinate with remote team members—helping schedule calls, track project progress, and relay updates to the CEO.

- Keep track of ongoing projects, tasks, and deadlines in project management tools (e.g., Jira, Notion) and remind the CEO of upcoming priorities.

3. Accountability & Social Coordination

- Provide in-person support at least a few days per week at the coworking space: help the CEO structure work sessions, remain focused, and handle quick administrative items on the spot.

- Schedule regular lunches, coffee meets, or small events with external partners and local community members to foster social interaction and networking.

- Facilitate short daily “stand-up” or accountability sessions, ensuring the CEO reviews key goals in the morning and recaps accomplishments at day’s end.

4. Process Improvement & Systems Building

- Identify productivity gaps and propose ways to improve efficiency (e.g., better scheduling tools, streamlined communication channels).

- Document processes for repeatable tasks, creating a reference guide for the CEO and team members.

5. Miscellaneous & Special Projects

- Assist with local errands or event planning as needed.

- Help plan and execute new initiatives that align with the CEO’s vision for both the company and personal development projects.

Requirements

Experience: Previous experience as an Executive Assistant, Operations Coordinator, or similar role. Experience in a startup or small business environment is a plus.

Organization & Proactivity: Proven ability to juggle multiple tasks, stay ahead of deadlines, and anticipate the CEO’s needs.

Communication Skills: Excellent verbal and written communication. Comfortable interacting with a variety of stakeholders in-person and online.

Tech Savvy: Familiarity with scheduling software (Google Calendar, Calendly), communication tools (Slack, Zoom), and project management platforms (Jira, Notion).

Interpersonal Skills: Friendly, personable, and comfortable working in a shared coworking space. Able to coordinate social events and keep a positive energy in face-to-face settings.

Adaptability: Willingness to handle both strategic scheduling tasks and occasional personal errands. Must be flexible in adjusting to the evolving needs of a growing company.
