ob Overview: Equipment and Parts Specialist

The Equipment and Parts Specialist is a crucial role within the Operations Department. This role oversees the lifecycle of parts and machines, from inventory management, ordering, and deployment to end customers and to handle the invoice matching for billable and non billable items. This role requires a detail-oriented professional with a strong foundation in logistics and order management, excellent organizational skills, advanced spreadsheet skills using pivot tables and VLOOKUP functions; in addition, the ability to collaborate with multiple departments to ensure operational efficiency and financial accuracy. 

Responsibilities:

  • Parts and Machines Lifecycle Management:
    • Oversight of both parts and machines, including their ordering, inventory levels, and deployment, ensuring a seamless flow from warehouse to end customer.
  • Inventory Management:
    • Beyond maintaining equipment inventory, this role demands management of parts and machines, including ordering needs, minimizing excess stock, and ensuring parts are available for deployment at all times.
  • Invoice Parts & Machines:
    • This responsibility involves working closely with the accounting department to ensure invoice related questions to parts and machines.This requires a good understanding of billing processes and the ability to communicate effectively with suppliers, customers, and internal accounting teams to resolve discrepancies.
  • Logistics and Ordering Optimization for Parts and Machines:
    • Involves collaboration with TW Team for issuing PO’s for parts and internal teams to streamline and improve logistics and order processes specifically for parts and machines, aiming for increased efficiency and cost savings.
  • Comprehensive Reporting on Inventory, Orders, and Logistics:
    • The role demands regular, detailed reporting on the status of inventory, order costs, and logistics efficiency related to parts and machines, providing critical insights for strategic decision-making.

Key Responsibilities: 

  • Inventory Management: Ensure accurate tracking and management of parts and machines inventory levels to meet operational needs while minimizing excess stock.
  • Ordering: Handle the ordering of parts and machines, including negotiating with suppliers, placing orders, and tracking deliveries to ensure timely receipt.
  • Deployment Coordination: Oversee the scheduling and deployment of parts and machines to customers for the operations team, ensuring deliveries are completed accurately and on time to meet customer expectations.
  • Logistics and Supply Chain Optimization: Collaborate with suppliers and internal teams to improve third-party logistics and supply chain processes for increased efficiency and cost-effectiveness.
  • Supplier Relationship Management: Maintain positive relationships with suppliers, evaluate performance, and address issues to ensure quality and reliability.
  • Invoice Matching and Accounting Assistance: Collaborate with the accounting department to match invoices with purchase orders and delivery receipts, resolving discrepancies and ensuring accurate financial records.
  • Reporting and Documentation: Maintain comprehensive inventory, orders, and logistics records. Provide regular reports to management on inventory status, procurement costs, and logistics efficiency.
  • Compliance and Quality Control: Ensure compliance with all relevant laws, regulations, and company policies. Monitor the quality of incoming goods and coordinate with suppliers to address any quality issues.

Qualifications:

  • Bachelor's degree in Logistics, Supply Chain Management, or a related field (preferred).
  • Proven experience in logistics coordination, specifically in managing equipment and parts logistics.
  • Strong understanding of equipment types, operation, and maintenance requirements.
  • Proficiency in logistics software and systems (e.g., TMS, ERP).
  • Excellent organizational and multitasking skills.
  • Effective communication and interpersonal abilities.
  • Detail-oriented with a focus on accuracy.
  • Problem-solving skills and the ability to make quick decisions.
  • Knowledge of safety regulations and industry standards related to equipment operation.
  • Familiarity with inventory management and tracking systems.

Salary Range: $60,000 - $75,000 per year
