Full Job Description

A leading organization is seeking a Compliance Specialist (HR - Remote) based in San Diego, CA. This role will focus on overseeing HR Compliance, leading HR audit efforts, managing the Immigration Process, and creating and maintaining standard operating procedures (SOPs).

Responsibilities

  • Research, document, and ensure compliance with state and federal employment laws.
  • Monitor compliance with federal, state, and local regulatory requirements including employment and leave laws.
  • Research and update policies based on new and existing regulations.
  • Maintain a comprehensive catalog of HR employment laws and ensure timely posting of required notifications.
  • Update compliance workforce spreadsheets with regulatory changes.
  • Collaborate with HR Managers and Legal Counsel to implement new laws and ensure compliance across all states.
  • Ensure corporate compliance with government regulations.
  • Track and ensure Certificates of Insurance (COIs) are current.
  • Oversee audits and ensure compliance with the California Consumer Privacy Act (CCPA).
  • Lead and manage external audits, maintaining a report of all audits and responses.
  • Oversee immigration paperwork and stay updated on immigration laws.
  • Act as a liaison between the company and external counsel for immigration needs.
  • Manage immigration cases to ensure compliance and efficiency.
  • Educate Talent Acquisition team and Department Managers on US immigration regulations.
  • Maintain and recertify I-9s, ensuring eligibility to work.
  • Oversee the Affirmative Action Plan (AAP) and develop internal and external communication procedures.
  • Assist in identifying AAP/EEO challenges and recommend solutions.
  • Design and implement an internal audit system to measure AAP effectiveness.
  • Process audit reports and assist in preparing EEO-1 and Vets-100 reports.
  • Develop and deliver training on affirmative action and related goals.

Requirements

  • Bachelor’s degree in a related field or equivalent experience (high school diploma required if no degree).
  • Minimum of 5 years of experience in HR compliance.
  • Current knowledge of state and federal compliance, immigration legislation, and affirmative action plans.
  • Project Management experience preferred.
  • Proficient in MS Office.
  • Demonstrated ability in quality assurance.
  • Ability to interact positively, establish cooperative working relationships, and provide excellent customer service.
  • Strong organizational, multitasking, and problem-solving skills.
  • Ability to handle confidential information and work effectively in a changing environment.
