JOB SUMMARY

Position Title: Assistant Wedding and Events Planner

Status: Full-time, Non-Exempt

Hourly Rate: $17.00/hr.

Join our dynamic team at the Edward Dean Museum as an Assistant Wedding and Events Planner and play a pivotal role in creating unforgettable wedding experiences! This exciting position offers the chance to work in a beautiful and historic setting, supporting the Wedding and Events Planner in executing stunning weddings that leave lasting memories.

 

The Assistant Wedding and Events Planner will support the efficient and effective execution of weddings and special events at the Edward Dean Museum. This role involves assisting with client communications, logistics, vendor coordination, and on-site event support to ensure a seamless and exceptional experience for clients.

PRIMARY RESPONSIBILITES

  • Assist in booking, planning, and executing every detail of weddings and special events to ensure they are flawlessly executed and surpass clients' expectations.
  • Participate in client meetings to understand their unique wedding/special event vision, preferences, and budget, and help turn their dreams into reality.
  • Support the development and implementation of innovative operational strategies, policies, and procedures to keep museum operations running smoothly.
  • Help align sales goals with the Museum and Garden’s mission and strategic objectives, contributing to our overall success.
  • Maintain regular, meaningful communication with clients through phone calls and emails, building strong and lasting relationships.
  • Assist in documenting all event details and preparing necessary paperwork for the event production team, ensuring nothing is overlooked.
  • Support tasting appointments and assist clients in crafting their perfect wedding/event menu.
  • Help clients select their ideal tabletop look during design appointments, bringing their vision to life.
  • Assist in creating detailed event timelines and floor plans, ensuring every moment is perfectly orchestrated.
  • Conduct engaging venue tours and provide detailed information to prospective clients, highlighting our beautiful setting.
  • Work closely with outside vendors and communicate event details to the Operations Manager, Chef, and kitchen staff, ensuring seamless coordination.
  • Ensure adherence to event contracts and maintain high levels of customer satisfaction by addressing and resolving complaints promptly.

Requirements

JOB REQUIREMENTS

  • 1-2 years of experience in event planning, catering, or a customer-facing role.
  • Strong organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Excellent interpersonal and communication skills.
  • Detail-oriented and committed to maintaining high standards of quality.
  • Flexibility to work weekends, evenings, and holidays as required by museum operations.
  • Ability to work collaboratively as part of a team and support the lead Wedding and Event Planner effectively.
  • Knowledge of industry standards and best practices in wedding and event planning.
