The Ground Transportation department is looking for an Administrative Assistant II to join their dynamic team. The ideal candidate will provide a range of administrative support to the Ground Transportation department and will be detail-oriented and a self-driven individual.
Essential Functions:
1. Completes activities to deliver customer services to team members, customers, public and third-party partners; engages service providers on commercial transportation programs to include transportation network companies, taxis, limousines, shuttles, and bus operators on permit process consistently with requirements, guidelines, regulations, and mandates.
2. Processes permit requests and fees; participates in the inspection of parking facilities to ensure effective functioning of parking access, trip fee collection, permitting, and revenue control resources consistently with operating standards.
3. Processes invoices, payments, and employee reimbursements; analyzes and reconciles financial information and data; completes collections activities for non-compliance with standards; researches, and compiles correspondence, reports, metrics, trends, and plans; maintains program documentation; trends financial and industry practices.
4. Disseminates program and project information, coordinates events, travel, and accommodations, attends meetings, prepares agendas and compiles minutes; participates in the implementation and upgrades of technical and/or mechanical systems and service provider contracts.
5. Serves as the administrative support for the department; screens calls and receives visitors; maintains calendars and maintains files, orders supplies, equipment, and services; distributes mail and materials; processes outgoing mail and prepares mailings and makes deliveries; performs other duties as assigned.
Competencies:
1. Communication: Proficiently exchange information through various avenues including verbal, digital, and written; facilitation and persuasion with both internal and external stakeholders.
2. Judgement & Decision Making: Ability to use appropriate judgment and confidentiality in selecting procedures, conducting transactions with other departments, vendors, and the public, and solving non-routine problems based on experience-based knowledge.
3. Customer & Personal Service: Provide assistance and support to the Department Director, departmental staff, and outside stakeholders on diverse and specialized clerical functions with a friendly and welcoming demeanor.
4. Time Management & Coordination: Ability to prioritize rapidly moving deadlines and various tasks to meet the department’s needs and manage personal workflow.
5. Leveraging Technology: Proficient in computer systems, word processing, database management and other software. Proficiency in PowerPoint, Word, and Excel desired.
Required Education, Training, and Experience:
• Graduation from high school or G.E.D. equivalent;
• Four years of increasingly responsible office administrative or secretarial experience;
• Or an equivalent combination of training and experience.
Preferred Qualifications:
· Graduation from a four-year college or university with a degree.
· Microsoft Office Specialist Certification (Associate/Expert/Master)
The hiring salary for the Administrative Assistant II is $57,800.
